Seifert Law Offices is a boutique immigration law firm based in beautiful Olympia, Washington.
We assist people from every country as they navigate the often complex US immigration and visa system. We focus on family, citizenship, and consular processing at US Embassies and Consulates abroad. We also specialize in visa for artists and entertainers who need to come to the U.S. for performance or educational projects. We do also occasionally represent individuals in the Northwest ICE Processing Center (NWIPC) in Tacoma.

Are you a great coordinator or administrative assistant looking to join an immigration services firm and make a difference? You can help change lives here, literally. Do you love helping people get answers and triaging urgent needs? Can you do that in Spanish, many of our clients speak Spanish as a first language. Many more speak other languages, so patience is a needed quality in our office.
This person is not the main reception or intake point. We have a PART TIME position that is part front office, part mail clerk, part legal or admin assistant, helping with basic business operations. The position is mainly in person, in the downtown Olympia office.

Responsibilities: the Coordinator will
- Greet and welcome occasional law office visitors in a professional and friendly manner
- Assist clients with copying and scanning documents and other material. Returning those items after ensuring copies are scanned.
-- Provide general administrative and client support, including photocopying, mailing, and filing, and basic office maintenance
-- Perform data entry and update various programs and databases as needed
- Assist with organizing and coordinating meetings and events
- Assist with the creating editing, testing and fine tuning of law office standard policy and procedure documentation
- Reporting - assist the remote team with meeting agenda, and track resolution and follow up of outstanding items. Provide reports on actions taken and feedback or suggestions received from team members or clients.
- Handle sensitive information in a confidential manner
Skills:
- Strong administrative skills with the ability to prioritize tasks and meet deadlines
- Excellent organizational skills with attention to detail
- Proficient in proofreading documents for accuracy
- Data entry experience with a high level of accuracy
- Adaptability and multitasking skills
- Ability to digitize and organize client and company documents accurately
- IT skills, Computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Gmail and google suite tools, as well as CLIO, Monday, and Docketwise, or related immigration software. AI tools such as Claude, Gemini, and ChatGPT will come in handy.
Coordinate and submit packages of applications to the government.
-Manage outgoing mail using online mail and postage programs.
This is a great opportunity for someone who is highly organized, detail-oriented, and has excellent technical and communication skills.
