Summary: Seeking an organized, proactive HOA Portfolio Manager to oversee operations, financial health, and community relations for diverse homeowners associations. Highlights: 1. Ensure communities are beautifully maintained, financially sound, and compliant We are seeking an organized, proactive HOA Portfolio Manager to oversee the day-to-day operations, financial health, and community relations for a diverse portfolio of homeowners associations in San Diego. In this role, you will act as the primary liaison and trusted advisor to volunteer Boards of Directors, ensuring their communities are beautifully maintained, financially sound, and compliant with California law. Required Qualifications: • Minimum of 2 years experience in the HOA Management industry. • Experience managing a portfolio of 350+ doors preferred. • Excellent customer service skills. • Strong written and verbal communication skills. • Organizational and computer skills. • Must be very responsive, able to manage strong personalities, and run organized and efficient meetings. • Experience with HOA boards, tenants, and vendor relationships. • Responsible, innovative, attention to detail, quick-learner and self-motivated. • CMCA, CCAM Certification(s) a plus. The job duties are, in broad terms: • Management of various vendors, contracts, supplies, maintenance, grounds upkeep, common areas, communications, files and systems, and the Owners Association clubhouse (if applicable) and it’s facilities. Various elements of the management aspect includes the monitoring, ordering, accounting, and justification for supplies, asset purchases, special needs expenses, permits and fee expenses, security, utility, and authorization of vendor expenditures within the scope of responsibility, as directed by the Board of Directors. • Planning with regard to budgets, maintenance, meetings, agendas, operational improvements, capital projects, long term and short term projects which involve stabilizing, protecting, and improving the value of the individual condominium assets, common area assets and any other Owners Association asset. • Analysis of existing and potential contracts, vendor qualifications, vendor performance, request for proposals, projects, which require expenditure of Owners Association funds, and specific projects as directed by the Board of Directors or Summit Property Management, Inc. • Document and attempt to resolve owner or resident issues (if applicable). This may include collection of onsite patrol service incident reports, verbal communication, emails or other supporting material, which describes the circumstances involved. The process may involve further action with written violation warnings or referral to the Board for possible fine action. Educate both owners and residents, when appropriate, with regard to the importance of cooperation and tolerance when living in a close community situation such is common in HOA’s. • Be familiar with the governing documents, including By-laws, CC&R’s, and Rules & Regulations. Educate both the owner/residents, and Board when needed, with regard to the various governing documents and rules and regulations and their interpretation, relevance to specific issues, and importance. Refer professional advice to legal counsel when appropriate or necessary. • Prepare items and documentation for the Board of Directors meetings. Attend meetings and act as advisor and meeting coordinator. Post pre-meeting agendas and post meeting minutes within prescribed times frames when applicable. Meetings may involve Executive sessions, which may involve discussion and decisions regarding legal, delinquency, contract, owner fine appeal hearings, and other such items of a sensitive or confidential nature. • Represent the Owners Association, when necessary, at various court cases or hearings. Submit or obtain various legal documentation for pursuit of legal action against those who owe the Owners Association for past due fees, fines, or other debts. • Review, on a regular basis, the state of the Owners Association financials. Compare the current income and expenses to the approved budget and historical financial status. Research, analyze, and advise with regard to positive or negative trends in income or expenses. Coordinate with the accounting firm, the Board of Directors, Summit Property Management, Inc., and if necessary, with legal counsel, to prepare any discussion with regard to the financial status of Owners Association. This may include responding to owner/resident inquiries with regard to details in the financials presented to them. Included in management of the Owners Association financial status would be monitoring and attempts to collect delinquent debt, if possible, through non-judicial means. • Enforce the various Rules & Regulations, where appropriate, feasible, and authorized. This may include enforcement of noise or other nuisance behavior, parking or vehicle issues, health and safety issues, trespassing, trash violations, and various pet nuisance incidents. • Any other duty as directed by the Board of Directors as a whole, or Summit Property Management, Inc., which does not conflict with any fiduciary, legal, ethical, or moral duty. Any duty of the portfolio property manager should be goal-oriented to the benefit of the Owners Association, its members, and the assets under control or influence of the property manager.
