Administrative & Operations Coordinator
Full-Time | In-Office | Monday–Friday, 8:30 AM–4:30 PM
About the Role
Gallo Realty Group is seeking a reliable, organized, and highly independent Administrative & Operations Coordinator to support a small real estate investment business specializing in property renovations, flips, and new construction.
This is a hands-on position with a wide variety of responsibilities. The ideal candidate is someone who can take a task or goal with minimal direction, figure out the necessary steps, and follow it through to completion. Much of the work is performed independently, so trustworthiness, good judgment, confidentiality, and attention to detail are essential.
The position is primarily office-based, but the employee will regularly leave the office for auctions, banking, title company visits, supply runs, and other business-related errands.
Responsibilities
-Monitor and manage multiple email inboxes, responding when appropriate and bringing important or time-sensitive matters to the owner's attention.
-Answer incoming phone calls, take accurate messages, and direct calls as needed.
-Perform administrative and organizational tasks to keep daily business operations running smoothly.
-Enter credit card and bank transactions into QuickBooks and perform basic account reconciliation/data entry.
-Process and pay invoices and maintain organized financial records.
-Post job advertisements and coordinate with contractors regarding upcoming work.
-Request and compare contractor estimates for construction and renovation projects.
-Obtain insurance quotes and communicate with insurance agents as needed.
-Communicate periodically with contractors, vendors, tenants, government offices, insurance agents, and other business contacts.
-Assist with obtaining permits, property records, and other information from government offices when needed.
-Attend foreclosure auctions and handle related tasks on behalf of the owner.
-Make regular trips to banks, title companies, home improvement stores, and other locations as needed.
-Handle confidential business and financial information with discretion.
-Take on miscellaneous administrative and operational projects as they arise.
Qualifications
*Minimum 3 years of relevant administrative, office, or operations experience.*
-Highly organized and detail-oriented.
-Trustworthy and dependable, with the ability to handle confidential financial and business information.
-Comfortable working independently with minimal supervision.
-Strong problem-solving skills and the ability to figure out how to accomplish a task without needing step-by-step instructions.
-Good written and verbal communication skills.
-Comfortable communicating with contractors, vendors, government offices, insurance agents, and other outside contacts.
-Valid driver's license and reliable transportation.
-Willingness to regularly run business errands and attend auctions during normal working hours.
-Ability to manage multiple priorities and determine what needs attention first.
Technology Requirements
The ideal candidate should be technologically proficient and comfortable using modern workplace technology, including:
-Google Workspace, including Google Email, Drive, Docs, Sheets, Calendar, and other Google products.
-Microsoft Outlook.
-QuickBooks, particularly for basic data entry and reconciliation.
-General office and organizational software.
-AI tools and applications, with an understanding of how to use AI effectively to improve productivity, research information, organize work, and assist with routine tasks.
The ability to learn and adapt to new software and technology is important. The accounting responsibilities of this position are limited primarily to data entry and basic reconciliation; tax preparation and higher-level accounting are handled separately.
Work Schedule
This is a full-time, in-office position, generally Monday through Friday, 8:30 AM–4:30 PM. There may be some flexibility in the exact schedule for the right candidate.

Compensation: $45,000-$65,000 depending on experience. Opportunities for bonuses available as well.
