Records & Information Governance Analyst Job Summary: Records & Information Governance Analyst is responsible for supporting the Records, Information, and Data Governance Program, with an emphasis on providing consulting on Information Management policies, standards, guidelines and best practices, including the Retention Schedule, and supporting the technology related to implementing information lifecycle management capabilities. Some key projects/initiatives this position could be supporting include: • Facilitating electronic disposition review processes in OpenText Content Server, both from the technical perspective configuring, running, and remediating searches as well as consulting with internal business units on their review processes. • MS365 implementation of retention policies and disposition review processes using AvePoint products and services including Opus and Compliance Guardian. • Maturing Enterprise Data Governance through development of policies and standards, providing training requirements for Data Stewards, identifying data governance compliance requirements, and executing a defined data governance framework. • Implementing policy management service and processes. • Developing and possibly delivering training content related to information and data management/governance and compliance with existing/new policies and standards. 1.0 Job Activities: • Supports the Information Compliance Program related to managing information assets through their lifecycle (ie: Inventory, Classify, Use and Share, Protect, Preserve, Dispose), with an emphasis on disposition in electronic content management systems • Develops, maintains, implements, and supports Information Management policy, standards, guidelines and best practices • Analyzes department records and researches appropriate retention values; reviews legal research and collaborates with Law Services as necessary to determine retention values; maintains relevant information in the retention software application • Builds and maintains strong, collaborative relationships with key internal stakeholders. • Defines and utilizes assessments and metrics that measure and report key indicators of compliance • Provides consultation related to managing information through its lifecycle through large projects, applications, cloud solutions, Information Consultant community, and business area subject matter experts • Designs, configures, and administers Records Management technical capabilities, such as: OpenText Content Server, Physical Objects, and Records Management modules, MS365 Purview retention policies, and disposition workflows. • Assesses and provides recommendations for features and capabilities within content management and collaboration solutions, such as OpenText Content Server, Enterprise Media Manager, InfoArchive, MS365 and more, to determine compliance with information management standards; Information Management best practice usage guidance; Legal/eDiscovery risk (in collaboration with Legal Services); and decommissioning outdated solutions • Performs Information Management risk assessments as part of the Hosted Information Technology (HIT) Process for evaluating new cloud applications • Performs risk analysis and impact assessments related to regulatory requirements and information management best practices for managing SRP’s information assets • Coordinates developing and administering continuous records management, information and data governance awareness and training programs to ensure employees and contract personnel involved in the creation, use and maintenance of records are aware of their responsibilities and comply with them • Develops enterprise policies and standards related to information and data management; coordinates policy management activities for department; supports and provides training for policy management service/processes within ConvergePoint policy management tool. • Write, test, promote, and execute code in various languages to facilitate data management, reporting, manipulation, and updates, including: SQL, HiveQL, C#, OpenText Code Base, HTML/JavaScript, PowerBI • Develops, maintains and disseminates department operational procedures • Identifies and documents problems in work processes, suggests improvements, and implements approved recommendations • Develops, implements, facilitates, and supports complex processes to train users to review information assets, support the review process, and gain approval for disposition • Assesses and maintains high quality data associated with records inventories and databases • Provides complex research, assistance and guidance to internal stakeholders regarding records and information management • Maintains knowledge and awareness of current trends, methods and technologies related to records and information management • Performs other duties as assigned 2.0 Skills: • Excellent verbal and written communication skills • Ability to learn new software quickly becoming proficient in its use and application • Proficient in the use of Microsoft Suite, Word, Excel, PowerPoint, Visio, Access, etc. • Analytical thinker with the ability to define information requests, choose appropriate sources for research, and present the desired results • Ability to work independently with minimal supervision • Ability to interface and work with all levels of staff, including senior staff, to accomplish assigned duties • Ability to adapt quickly to change • Ability to work well under pressure and with ambiguity • Detail oriented with exceptional follow-through • Handles sensitive information with discretion • Training experience preferred, but not required • OpenText Content Server, Records Management Module, and Physical Objects Module experience preferred, but not required • MS365 Retention Policies and Labels experience preferred, but not required • Licenses and Certifications: CRM designation or other relevant certificate or certification preferred, but not required
