Position Overview
The Bid Coordinator / Estimating Administrative Assistant supports the Estimating Department by managing bid processes, tracking proposal timelines, and coordinating subcontractor outreach. This role is responsible for preparing bid documents, ensuring compliance with requirements, maintaining accurate records, and facilitating bid-day logistics. Success in this position requires strong organizational skills, attention to detail, and the ability to perform effectively in a fast-paced, deadline-driven environment.
The ideal candidate will have construction industry experience (general contractor experience preferred) and be proficient in Microsoft Office—particularly Excel—as well as document management systems. Strong communication and collaboration skills are essential for coordinating with estimators, subcontractors, and project teams to produce accurate and competitive bid submissions.
Essential Duties & Responsibilities
* Support the Estimating team throughout the bid process, including preparation of bid forms and proposals, timeline tracking, and subcontractor coordination
* Manage approximately 12–20 bids and/or opportunities per month
* Assist in the preparation of Statements of Qualifications (SOQs), coordinating input from multiple stakeholders
* Process and distribute bid documents, including plans, specifications, and addenda
* Issue requests for bids (RFBs) to subcontractors
* Apply working knowledge of bid requirements, including applicable government program compliance
* Identify and recruit additional subcontractors to participate in bidding opportunities
* Review subcontractor bids for proper licensing and compliance with bid requirements
* Maintain document control and communication protocols for the bid team
* Build and maintain strong relationships with subcontractors and industry partners
* Communicate regularly with subcontractors via phone and email
* Maintain accurate bid lists, files, and project records
* Distribute bid results to internal and external stakeholders
* Compile and organize complete bid files for handoff to clients and project teams
* Perform additional duties as assigned
Knowledge, Skills & Abilities
* Experience in preconstruction, bidding, or proposal coordination, with the ability to interpret construction plans
* Strong organizational, time management, and multitasking skills; ability to meet tight deadlines under pressure
* Excellent written and verbal communication skills, with the ability to interact professionally at all levels
* Highly detail-oriented, proactive, and reliable in follow-through
* Proficient in Microsoft Word, Excel, Outlook, and Bluebeam
* Ability to manage confidential information with discretion and professionalism
* Technically proficient in scheduling, data entry, and document management systems
* Adaptable and flexible, with the ability to take on evolving responsibilities
* Civil construction experience preferred; bid-day or “war room” experience is a plus
