Our Administrative Assistant is the hub of an active, fast-moving electrical contracting operation — the person who keeps bids moving, contracts clean, and project teams supported. You’ll work closely with our CEO, project managers, and field technicians on commercial, industrial, and federal projects across the DC Metro area. The role offers genuine exposure to how a successful contracting business runs — from federal procurement portals to construction submittals to client relationships — with clear opportunities to grow your skills and your responsibilities over time. We hold a Virginia Class A contractor’s license, are SAM.gov registered for federal work and employ security-cleared personnel. Our project portfolio includes Class A commercial offices, healthcare facilities, federal installations, municipal infrastructure, and complex industrial systems. A Day in the Role No two days look exactly alike, but here’s a snapshot of what you’ll own: • Bidding & business development — find opportunities, organize documents, and help the team submit competitive proposals • Contract administration — process submittals, RFIs, change orders, and close-out packages that keep projects on track • Project documentation — manage permits, certificates of insurance, drawings, and compliance paperwork • Recruiting support — screen technician candidates and help bring strong people onto the team • Client and field support — be the steady, responsive contact our clients and technicians rely on What You’ll Do Bidding & Proposals • Identify bid opportunities through eVA, SAM.gov, Plan Hub, Building Connected, Blue Book, and local government and GC platforms • Draft, edit, and submit proposals and quotes for electrical and generator projects • Coordinate site visits for bid projects as needed • Organize bid documents in Dropbox, set up CRM project folders, and keep plans and specs cleanly categorized Contract & Project Administration • Prepare and submit contract modifications, submittals, RFIs, CORs, FFPs, T&Ms, and IDIQs • Generate Certificates of Insurance for awarded contracts • Maintain comprehensive logs for RFIs, CORs, and SCOs • Build and revise project schedule templates • Develop and update As-Built drawings; order prints as required • Create single-line drawings for permit applications and process permit submittals • Review product data sheets to confirm specification compliance • Prepare Method of Procedures (MOPs) for review and approval • Compile project close-out packages including warranties, approved submittals, and cover sheets Recruiting & Onboarding • Review applications via Indeed and screen candidates for technician and internal positions • Conduct pre-interview phone assessments covering skill set, work history, and pay expectations • Schedule interviews and coordinate new-hire onboarding • Maintain detailed candidate notes, status updates, and communication logs Office & Field Support • Respond promptly to clients and field technicians who need information or paperwork • Manage office supply inventory and order WesMart uniform gear for technicians • Receive and route incoming materials, tools, and shipments to the right team members Security & Compliance • Process project security access forms for special and federal projects • Maintain security access documentation for government contract work What We’re Looking For You should have • A high school diploma or equivalent • Proven administrative or coordination experience (construction industry a strong plus) • Advanced proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) • Strong skills in Adobe Acrobat for PDF creation and editing • Comfort working with cloud-based document systems (Dropbox or similar) • Excellent written and verbal communication — you’ll represent WesMart to clients, GCs, and candidates • Sharp organizational skills and genuine attention to detail • The ability to juggle multiple deadlines without losing the thread • A professional, steady demeanor under pressure Bonus points for • Associate’s degree in Business Administration, Construction Management, or a related field • Background in electrical contracting or general construction • Familiarity with government procurement portals (eVA, SAM.gov) • Knowledge of construction bidding processes, electrical plans, specs, or permitting • Experience with CRM systems or project management software • Basic working knowledge of AutoCAD or similar drawing tools What We Offer • Competitive pay: $25 – $30 per hour, based on experience • Comprehensive benefits: health, dental, vision, and life insurance • Generous time off: paid holidays and a strong PTO package • Predictable schedule: Monday – Friday, 8:00 AM – 4:30 PM — evenings and weekends are yours • Real career growth: an established, reputable company where good work gets noticed • Variety: exposure to commercial, industrial, healthcare, and federal projects • A team that backs you up: collaborative, no-drama environment with leadership that listens • Professional development: training and growth opportunities supported by the company How to Apply Send your resume and a brief note about your relevant experience to the email below.
