We are currently looking for a Hotel Administrative Assistant to support our management team and help keep things running smoothly behind the scenes. Position Overview: • Position: Hotel Administrative Assistant • Salary: $23.50 per hour • Working hours: 40 hours per week • Benefits: Extended Medical Insurance; Employee Discount • Employment type: Full-time, permanent • Start Date: As soon as possible What You’ll Do • Prepare, edit and proofread hotel correspondence, invoices, event contracts, staff schedules, and guest service reports. • Handle incoming calls and emails related to hotel administration, vendors, and event bookings, and ensure timely communication with managers and relevant departments. • Schedule and confirm appointments, meetings, and travel arrangements for hotel management. • Order office and hospitality supplies (such as stationery, brochures, name tags, and event materials) and maintain inventory records. • Establish and maintain electronic and paper filing systems for hotel administration, event bookings, and guest records. • Record and prepare minutes of management meetings and assist in preparing monthly hotel reports. • Compile data and maintain administrative records for hotel operations, staff scheduling, vendor accounts, and special events. • Provide administrative support to hotel managers and coordinate with different departments (front desk, housekeeping, marketing) to ensure smooth operations. What We’re Looking For • Completion of secondary school is required; higher education credential is a strong asset. • At least one year work experience in administration is required. Experience in hospitality industry is an asset. • Strong organizational skills and attention to detail. • Friendly and professional communication skills. • Comfortable with Microsoft Office (Word, Excel, Outlook) and basic office systems. • Someone who enjoys being part of a team and helping others succeed. • A positive attitude and willingness to step in and get things done.
