We specialize in professionally organized estate sales with a strong focus on customer service, compassion, organization, and creating positive experiences for both clients and shoppers. We are looking for a highly organized, dependable, and motivated Operations Coordinator to help support and streamline the daily operations of our growing company. Position Summary The Operations Coordinator is a key support role within The Rusty Trunk LLC. This person will oversee client communication and interviews, staff coordination, scheduling, operational logistics, and administrative support for estate sales and company operations. This role requires extensive driving throughout Oregon and Washington for client meetings, estate sale visits, operational support, and on-site coordination. This role requires someone who thrives in a fast-paced environment, communicates professionally, handles multiple priorities efficiently, and enjoys both people-facing and behind-the-scenes operational work. The ideal candidate is calm under pressure, solution-oriented, detail-focused, and able to work independently while supporting a collaborative team environment. Key Responsibilities Client Communication & Intake • Conduct all client intake interviews and gather information for upcoming estate sales • Serve as one of the primary points of contact for clients throughout the entire process • Professionally communicate with clients throughout the planning process • Meet with clients in person when needed and help guide them through the estate sale process • Assist clients with questions, timelines, expectations, and scheduling • Maintain accurate client records and notes • Help ensure clients feel supported and informed throughout the process Scheduling & Staffing Coordination • Coordinate estate sale schedules and staffing assignments • Assist in building and managing weekly calendars • Communicate scheduling updates and staffing changes to team members • Help ensure proper staffing coverage for all sales and operational needs • Coordinate setup, sale days, and cleanout timelines Operations Support • Support ownership and management with day-to-day operational tasks • Help maintain efficient workflows and organizational systems • Assist with problem-solving during active sales and projects • Coordinate communication between managers, staff, and leadership • Help maintain company standards and operational expectations Administrative Duties • Answer calls, emails, and team communications • Organize digital files, contracts, and operational documents • Assist with onboarding paperwork and employee communication • Track operational needs and supplies • Assist with reporting and other administrative projects as needed Team & Culture Support • Promote a positive, professional, and team-focused work environment • Support company values and expectations • Communicate respectfully and professionally with staff and customers • Help contribute to a strong company culture built on accountability and teamwork Qualifications Required Skills • Excellent organizational and multitasking abilities • Strong communication and customer service skills • Ability to manage multiple moving parts and deadlines simultaneously • Professional demeanor with clients, staff, and customers • Strong attention to detail and follow-through • Ability to work independently and take initiative • Comfortable using email, calendars, spreadsheets, and basic office software Preferred Experience • Operations coordination • Scheduling or staffing coordination • Administrative support • Customer service or client relations • Event coordination, logistics, retail, or estate sale experience • Experience working in fast-paced environments Personal Traits We Value • Dependable and trustworthy • Calm under pressure • Positive attitude • Team-oriented mindset • Compassionate and professional with clients • Efficient and proactive • Adaptable and flexible • Strong problem-solving abilities • Fun and enjoyable to work with while maintaining professionalism Position Details • Full-time Salaried Position • Significant driving is required throughout Oregon and Washington • Must have reliable transportation, valid driver’s license, and ability to travel regularly for client meetings and sale support • Some flexibility may be available for the right candidate • Weekend availability will be required • Mix of office coordination and on-site operational support • Based in Beaverton, Oregon Compensation Compensation is based on experience, reliability, leadership ability, and operational knowledge.
