Marimed Foundation is seeking a dependable, organized, and team-oriented Office Assistant to join our small nonprofit team. We are dedicated to making lives better for those we serve, and we’re looking for someone who shares that commitment.

Schedule
Mondays, Wednesdays, Fridays
8:30 AM – 3:30 PM
6.5 paid hours per day
Lunch: 11:30 AM – 12:00 PM (unpaid)

Position Overview
The Office Assistant helps maintain a well-functioning administrative office while supporting the President/CEO and Fiscal Director. This role requires professionalism, initiative, organization, flexibility, and a positive attitude.
Primary Responsibilities
Coordinate and maintain daily office operations
Serve as receptionist and general information coordinator
Greet visitors, answer and route phone calls
Process incoming and outgoing mail
Maintain a clean, organized, and stocked office environment
Schedule appointments and meetings
Manage calendars, filing systems, and receipt reconciliation
Assist with board and stakeholder correspondence
Maintain organizational records including accounting, voyaging/ship, and program records
Support staff, participants, families, and stakeholders as a resource link
Occasionally assist during early mornings, evenings, or weekends as needed
Work collaboratively with volunteers and team members
Perform additional duties as assigned
Qualifications
At least one year of successful office assistant experience OR several years in a busy office environment
Associate degree preferred (Business Administration, Computer Science, or related field)
Strong Microsoft Outlook, Word, and Excel skills
Excellent written and verbal English communication skills
Positive attitude and strong teamwork skills
Ability to work independently and exercise sound judgment
Reliable attendance and professionalism required
Requirements
Valid driver’s license
Current no-fault insurance
Ability to drive
Ability to frequently lift up to 50 pounds
Ability to stand for moderate periods
Must remain alert and attentive during shifts
