Established Greater Seattle General Contractor is seeking a highly organized and motivated Construction Administrative Assistant to support our team.
The ideal candidate is detail-oriented, able to manage a diverse workload, prioritize multiple tasks, and thrive in a fast-paced construction environment. This position offers a variety of responsibilities ranging from general office administration to project and accounting support.
Responsibilities
Construction Administration
• Process purchase orders and change orders
• Prepare, track, and maintain subcontract agreements
• Update and maintain construction contract spreadsheets
• Track project documentation and administrative requirements
• Obtain and maintain required insurance certificates from vendors and subcontractors
• Assist with permitting, utility applications, and the Built Green certification process
• Support Project Managers and Superintendents with administrative tasks and project coordination
Accounting Support
• Assist with monthly accounts payable processing
• Code and process vendor invoices
General Office Administration
• Answer and direct incoming phone calls
• Maintain office supply inventory
• File and organize project and administrative documents
• Provide general office support to management and staff
Qualifications
Required
• Strong organizational and time management skills
• Excellent written and verbal communication skills
• High attention to detail and accuracy
• Ability to multitask and prioritize effectively
• Proficiency with Microsoft Office Suite, including:
o Outlook
o Excel
o Word
Preferred
• Previous construction industry experience
• Knowledge of residential construction processes
• Experience with permitting and utility coordination
• Familiarity with Sage 100 Contractor software
