An established Portland-area law firm is seeking an outgoing, motivated, and highly professional Client Intake & Front Office Coordinator to serve as the first point of contact for prospective clients, existing clients, visitors, and callers.
This is not simply a traditional receptionist position.
A major part of this role involves speaking with prospective clients who contact our office seeking legal representation. We are looking for someone who genuinely enjoys talking with people, asks good questions, communicates confidently, follows up reliably, and can help prospective clients understand our intake and consultation process.
The right person will combine the warmth and professionalism of an excellent receptionist with the initiative, communication skills, and persistence of a strong customer-service or sales professional.
This is a full-time, in-office position. You must be willing and able to work at our Portland westside office Monday through Friday from 8:00 a.m. to 5:00 p.m. This is not a remote or hybrid position.
Client Intake and Reception Duties
• Answer incoming telephone calls promptly, professionally, and courteously.
• Speak with prospective clients, gather information about why they are seeking an attorney, and screen inquiries using the firm's established intake criteria and procedures.
• Explain the firm's consultation and intake process clearly and professionally.
• Follow up with prospective clients by telephone, email, and text as appropriate.
• Schedule consultations and accurately enter prospective-client information into the firm's intake and case-management systems.
• Respond promptly and professionally to incoming emails and website inquiries.
• Greet clients, prospective clients, attorneys, vendors, and other visitors to the office.
• Help ensure that every person who contacts or visits the firm receives prompt, courteous, and professional attention.
In-Office and Administrative Duties - Because this person will be present in the office every business day, the position also includes responsibility for helping keep the office running smoothly and maintaining a professional environment. Duties include:
• Retrieve, scan, sort, and route incoming U.S. Mail, deliveries, and packages.
• Prepare outgoing mail and packages as needed.
• Deposit client and firm checks in accordance with established office procedures.
• Maintain and stock the office refrigerator, beverages, and commonly used supplies.
• Monitor office supplies and notify appropriate staff when items need to be ordered or replenished.
• Keep the reception area, conference rooms, kitchen, and other common areas neat, organized, and professional.
• Perform light cleaning and organizing as needed, including vacuuming, wiping down common areas, straightening conference rooms, putting away supplies, and addressing ordinary day-to-day messes.
• Assist attorneys, paralegals, and administrative staff with routine office and administrative projects.
• Identify routine office needs and take appropriate initiative rather than waiting to be asked repeatedly.
This is not a janitorial position, and the employee will not be expected to perform tasks such as cleaning toilets or other substantial janitorial work. However, everyone who works in a small professional office occasionally needs to help keep the workplace clean, orderly, stocked, and presentable. We are looking for someone who takes pride in the appearance and organization of the office and is comfortable handling those routine responsibilities.

• Is confident explaining a process, answering routine questions, and encouraging prospective clients to take the appropriate next step.
• Understands the importance of responding promptly and professionally when prospective clients are deciding whether to hire a law firm.
• Takes initiative and does not need to be repeatedly reminded to complete routine responsibilities.
• Is willing to learn new responsibilities and does not resist being assigned unfamiliar tasks.
• Is dependable, punctual, and committed to being physically present in the office five days per week.
• Communicates professionally in person, by telephone, email, and text.
• Is organized and detail-oriented and can keep track of multiple calls, emails, appointments, documents, and follow-up tasks.
• Exercises good judgment and discretion when handling confidential and sensitive information.
• Takes pride in maintaining a clean, organized, welcoming, and professional workplace.
• Works well as part of a small office where responsibilities sometimes overlap and everyone is expected to help where needed.
Prior law-office experience is helpful but is not required. Strong experience in professional customer service, consultative sales, hospitality, medical or professional-office reception, client intake, or another high-contact position can be equally valuable. We are more interested in attitude, communication ability, judgment, reliability, initiative, and willingness to learn than in a particular educational background.
Compensation and Benefits - Compensation is $27-$30 per hour, depending upon experience and qualifications.
