Tracy Boehme Realty Group is a high-performing residential real estate team serving Greater Boston, Massachusetts. Now in our 31st year, we are affiliated with Keller Williams Realty and have earned numerous industry awards for excellence in client service and results. We are seeking an exceptionally organized, detail-oriented Prospective Client Assistant to manage the operational side of our prospective client pipeline. This role is responsible for maintaining complete and accurate records in our CRM, documenting every interaction with prospective clients, managing follow-up schedules and reminders, coordinating marketing campaigns and mailings, preparing research and materials for appointments, and ensuring that every lead receives timely, consistent attention. You will be the organizational hub behind our lead management system, ensuring that nothing falls through the cracks and that our lead agent is always prepared to provide exceptional service.
PRIMARY TASKS
Manage Contacts in CRM using a proprietary program of Keller Williams Realty called Command; Create a daily call list for CEO everyday for next day.
All research and support needed by CEO in the Lead Follow Up and Lead Conversion Process
SECONDARY TASKS
Ongoing Market Research for markets where we work
Implement Mailing Campaigns: Mail postcards to multiple groups on time per schedule; Keep mailing lists up-to-date; Keep mailing schedule up-to-date; Supervise graphic designer to be sure items to be mailed are correct, meet our standards and complete on time
Referrals: Manage all details of Agent-to- Agent (A2A) and Sphere referrals; Manage execution of all referral paperwork; Complete all follow-up actions for referrals
Buyer Support: Assist CEO with Buyer clients as needed
Honoring Client Life Events: Send life event cards and gifts (birthdays, anniversaries, sympathy, etc.); Datamine to find dates + events
Online Presence: Maintain company website and sites where we collect on line reviews up to date with accurate info
Miscellaneous Admin Tasks, Time Permitting
Compensation
Between $600 and $700 per month to start based on experience. Raises overtime. Bonuses throughout the year.
