Supporting the Director of Property Management
Arizona Real Estate License Required
We are a growing residential property management company seeking a highly organized and detail-oriented Property Operations Support Specialist to provide direct administrative and operational support to our Director of Property Management.
This position plays a vital role in supporting the daily operations of our property management department, helping coordinate maintenance activities, owner communications, compliance tracking, inspections, vendor relationships, and administrative processes across our managed portfolio.
Schedule: Monday – Friday, 10:00 AM – 2:00 PM (20 hours per week)
This role is ideal for someone who enjoys organization, problem-solving, process management, and keeping multiple projects moving forward while supporting leadership in a fast-paced property management environment.
Primary Responsibilities
Administrative & Operational Support
• Provide direct support to the Director of Property Management
• Maintain task lists, operational calendars, and department deadlines
• Prepare reports, correspondence, notices, and property-related documentation
• Monitor workflows and follow up on outstanding tasks
• Maintain accurate digital records and filing systems
Property Operations Coordination
• Coordinate move-ins, move-outs, and property turnovers
• Assist with utility transfers and service scheduling
• Monitor property readiness and turnover timelines
• Track inspection schedules and distribute reports as needed
• Support key management, HOA registrations, and property access coordination
• Maintain property files, records, and operational documentation
• Follow up with vendors, inspectors, and team members to ensure timely completion of tasks
• Assist with implementation and maintenance of company procedures and workflows
Maintenance Coordination
• Receive and route maintenance requests
• Schedule vendors, contractors, and inspectors
• Track work-order completion and vendor follow-up
• Collect repair estimates and maintain maintenance records
• Assist in ensuring timely completion of repairs and property turnovers
Property Owner Support
• Assist with owner communications and follow-up requests
• Prepare owner reports and supporting documentation
• Coordinate inspection reports and maintenance updates
• Help maintain positive owner relationships through professional and timely communication
Compliance & Collections Administration
• Track rent collection deadlines and delinquency notices
• Assist with notices, lease violations, and compliance documentation
• Maintain records related to HOA violations and warning notices
• Support legal and court preparation as directed by management
• Monitor required documentation and compliance deadlines
Monthly Administrative Tasks
• Assist with monthly rent collection tracking
• Coordinate tenant and owner communications regarding statements and balances
• Support month-end reporting and administrative closeout procedures
• Help ensure recurring monthly operational tasks are completed on schedule
Qualifications
Required
• Active Arizona Real Estate License in good standing
• Administrative, office management, real estate, or property management experience
• Strong organizational and multitasking skills
• Excellent written and verbal communication abilities
• Proficiency with Microsoft Office and Google Workspace
• Ability to prioritize competing deadlines in a fast-paced environment
• Professional and customer-service-oriented mindset
• Self-motivated and able to work independently
• Strong attention to detail and follow-through
Preferred
• Property management experience
• Experience with AppFolio or other property management software
• Experience coordinating maintenance vendors and property inspections
• Familiarity with Arizona landlord-tenant laws, HOA processes, and residential property management operations
Compensation & Benefits
