To support our continued growth, we are seeking a highly organized and proactive Executive Assistant to manage the day-to-day operations and assist our executive team. How this role is important to the company: The Executive Assistant plays a crucial role in ensuring executives are supported and that operations run smoothly. This position is responsible for managing schedules, communications, and administrative tasks, allowing executives to focus on strategic decisions and leadership. Executive Assistant’s Essential Functions Administrative Support Manage executive calendars, schedule meetings, and coordinate travel arrangements (domestic and international). Prepare, proofread, and manage correspondence, reports, presentations, and other documents. Screen emails and calls, prioritize communications, and respond on behalf of the executive when appropriate. Serve as a gatekeeper to manage internal and external requests for the executive's time. Project Coordination Assist in planning and execution of strategic projects and initiatives. Track deadlines, monitor progress, and follow up on action items. Coordinate cross-functional collaboration between departments as needed. Meeting & Event Management Organize and prepare for meetings including agenda creation, material compilation, and logistics. Attend meetings to take minutes, capture action points, and ensure timely follow-up. Help plan and execute internal events, offsites, and executive team meetings. Human Resources Support Assist with recruitment tasks such as posting job openings, scheduling interviews, and onboarding new hires. Maintain and update employee records and HR documentation. Coordinate benefits enrollment, time-off tracking, and HR compliance processes. Act as a point of contact for employee inquiries regarding HR policies and procedures. Support company culture initiatives, employee engagement efforts, and internal communications. Office & Operational Support Manage expense reports, reimbursements, and basic budget tracking. Maintain confidential files and contact lists. Liaise with HR, IT, and other departments to facilitate onboarding, equipment procurement, and access for the executive and staff.
