Description

We are seeking a detail-oriented and experienced Payroll Specialist to administrate payroll processing, benefits and compliance. The ideal candidate will have 3-5+ years of direct payroll experience, a strong understanding of ADP Workforce Now, and expertise in multi-state payroll administration, tax compliance, and benefits coordination. This role ensures accurate and timely payroll processing, compliance with federal, state, and local regulations, and annual reporting requirements and other state-specific filings. Key Responsibilities: Payroll Processing & Administration: Process semi-monthly payroll using ADP Workforce Now. Manage time and attendance records, ensuring accuracy before payroll submission. Review and verify payroll entries, deductions, and adjustments. Handle off-cycle payroll runs, retroactive pay, and final pay calculations as needed Multi-State Payroll & Compliance: Administer payroll for employees across multiple states, ensuring compliance with CA and other state labor laws. Maintain knowledge of federal, state, and local payroll tax laws, including withholding, unemployment, and wage/hour laws. Ensure compliance with wage garnishments, levies, and child support orders. Prepare and file required state and federal payroll tax reports.  Benefits & Payroll Integration: Coordinate payroll deductions for benefits, retirement plans, and other voluntary contributions. Collaborate with HR and Benefits teams to manage open enrollment payroll changes. Reconcile benefit deductions and resolve payroll discrepancies. Reporting & Year-End Compliance: Prepare and submit EEO-1, CA Pay Data Reporting, and other required filings. Assist with year-end payroll processing, including W-2 and ACA reporting. Support internal and external audits related to payroll and compliance. Requirements Education: Bachelor's degree in a related field. 5+ years of direct payroll experience, with expertise in ADP Workforce Now payroll administration. Strong understanding of CA payroll laws and multi-state payroll regulations Experience with EEO-1, CA Pay Data Reporting, and annual tax filings. Knowledge of payroll tax withholdings, unemployment insurance, and compliance requirements. Familiarity with labor laws, tax regulations, and benefits compliance (ACA, FLSA, FMLA, etc.). Proficiency in payroll systems including ADP Workforce Now, Excel, and HRIS/payroll systems Ability to troubleshoot payroll issues and ensure accurate payroll processing. Strong attention to detail and confidentiality in handling payroll data. Excellent problem-solving, analytical, and organizational skills Ability to multi-task and meet deadlines in a fast-paced environment. Preferred Qualifications: Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) is a plus. Familiarity with workers' compensation payroll reporting and 401(k) contributions management. Relocation assistance is available.  https://ucnet.universityofcalifornia.edu/benefits/    About the role:  As the Disability Accommodation Specialist, you will coordinate all activities of the UCLA Health System’s Disability Management Services program with major areas of responsibility including both occupational and non-occupational injury and disability. You will demonstrate subject matter expert level expertise with ADAAA, FEHA, FMLA, CFRA, CAPDLL and knowledge of Labor Code 132a. In collaboration with the Manager-LOA/WDCM, effectively delivers UCLA Health’s Disability Management program by providing direction and expertise in complying with state and federal and statutory law, facilitating the interactive process, identifying and implementing process improvements, and ongoing program development. This position will assess essential job functions and review requests for medical accommodation for both temporary and permanent work restrictions. Ensure smooth delivery of client services in all facets of disability management.    What you will be doing:  Serve as the subject matter expert for integrated disability leave program, inclusive of workers’ compensation, non-occupational disability, and return-to-work  programs.  Work directly with Employee/Labor Relations, management, and employees  to resolve claims in a timely manner to minimize costs and exposure.  Advises and collaborates on UCLA Health’s Disability Management program  by providing technical guidance, support day-to-day disability operations.  Educates LOA/DM/WC teams on federal and statutory laws.  Manage relationships with third party claims administrator (Sedgwick),  various Job Accommodation vendors, and partner with Environmental Health  & Safety (EH&S) to ensure efficiency and effectiveness in claims handling that  are within University expectations.  Ensures practices are within Disability Management programs standards and  University policy and procedure, applicable California regulatory  requirements, codes of practice, and internal organizational standards.  Assists with operational oversight of both occupational and non-occupational  disability accommodations to reduce overall lost days and increase unit  productivity.  Provides support in accordance with the University of California Office of the  President for reporting and implementation of UC programs and initiatives.  Coordinates with other HR teams when needed to resolve Employment  Relations, Leave Management (inclusive of Medical Separation) and various  Benefits issues (inclusive of UCRP Disability Income Programs).  Ensure effective collaboration, coordination and communication between  Human Resources, managers and employees.  Provide timely and consistent review and advice on medical separation cases.  Educates management as to Special Selection and/or Reassignment processes  under applicable laws and mandates described by UC accommodation rules.  Deliver training/educational programs regarding Disability Management;  specifically return to work practices, medical accommodations, interactive  process and related disability issues.    What we’d like to see from you:  Bachelor’s degree in business, social sciences, or related field preferred;  3-5 years of Disability Management experience, inclusive of the application of collective bargaining agreements, case law, directives, policies, and legislation;  Strong interpersonal, collaborative, and organizational skills;  Ability to ask thoughtful questions to understand past precedents and practices;  Proven relationship management skills required to effectively partner with staff at all levels of the organization.
