We’re seeking a dedicated Medical Biller with strong attention to detail, insurance knowledge, and excellent communication skills to manage billing workflows, answer patient billing questions, and support our front desk team with occasional vacation coverage. This role is perfect for someone who thrives on accuracy, process improvement, and collaboration within a warm, people-centered clinic. Role Summary This 0.8 FTE position (approximately 32 hours/week) focuses primarily on medical billing, insurance verification, and authorization management, with remote flexibility and occasional front desk coverage for our Patient Care Coordinators (PCCs) during vacations or planned time off. You’ll own the billing cycle from start to finish— ensuring clean claims, accurate authorizations, and clear patient communication. You’ll collaborate closely with our PCC and clinical teams to maintain consistency, optimize billing success rates, and keep patient care flowing smoothly. Key Responsibilities Billing & Authorization Management: Manage the end-to-end PT billing process, including insurance verification, benefit checks, patient invoicing, and claims submission and corrections. Track and manage authorizations, ensuring timely renewals and minimizing denials. Scrub claims for accuracy and completeness to maintain a high first-pass acceptance rate. Manage accounts receivable, follow up on aging claims, and handle patient billing questions. Maintain and update insurance policies and patient profiles in our EMR (Jane and Claim.MD). Collaborate with PCCs and therapists to ensure each visit is properly authorized, coded, and billed. Schedule & Workflow Oversight: Review daily and weekly schedules to confirm active authorizations and identify expiring visits. Communicate proactively with PCCs and therapists regarding visit counts, plan-of-care expirations, and reauthorization needs. Support daily tracking systems to ensure accurate billing documentation and visit management. Occasional PCC Support (Vacation Coverage): Provide front desk coverage for PCC vacations or sick time. Greet and check in/out patients, answer phones and emails, manage the schedule, and process payments. Assist patients with insurance or billing questions, ensuring a kind and compassionate experience. Coordinate with the team to maintain consistency in patient communication and scheduling. Collaboration & Improvement: Participate in team meetings to review workflows, troubleshoot billing challenges, and improve processes. Provide billing insights and training to PCCs or therapists as needed. Help strengthen consistency in systems, data entry, and tracking for improved efficiency. Provide owner updated reports for tracking billing and a/r and general health of clinic revenue cycle Qualifications 2+ years of experience in medical billing, insurance verification, or healthcare revenue cycle management. Strong understanding of modifier codes, EOBs, and insurance claim workflows (PT-specific experience a plus). Exceptional attention to detail, organization, and accuracy. Tech-savvy; comfortable with EMRs (we use Jane.app), clearinghouses (Claim.MD), and payer portals. Excellent written and verbal communication skills with a patient-centered approach. Ability to work independently while staying connected to a collaborative team. Positive attitude, adaptability, and desire to grow with the company. Details & Perks: Schedule: 0.8 FTE (~32 hours/week, Monday–Friday), remote with limited in-person coverage for PCC vacations. Compensation: Hourly, DOE (initially $23–26/hr, market competitive).
