We are seeking a part-time Office Assistant for a family business in real estate and other various investments. The ideal candidate should possess professionalism, self motivation, strong communication and organization, superior attention to detail and be able to multi-task. Ability to work independently, include answering phone, scheduling appointments, managing information flow, answering emails, typing of documents, preparung leases, keep certificates of insurance and other filings current, filing and bookkeeping. You will support daily office operations, data entry, schedule management, and inventory management as well as proficiency in Microsoft Office. Duties and Responsibilities include but not limited to: *Assist with tenants related issues. *Attend to tenant requests promptly and in accordance to procedure *Process applications *Follow up with prospects/prepare leases/lease renewals etc. Maintains a complete and systematic set of records of all financial transactions • Check and verifies all invoices and handles the preparation for accounts payables • Assumes responsibility for the preparation and mailing/emailing of invoices • Deposit checks to bank account and post to correct account in the accounting system • Printing and organizing invoices received • Pay, record, outstanding and recurring bills using Quickbooks • Process payments and post correctly in the accounting system • Reconcile bank accounts and verify transactions on a daily and monthly basis • Preparation of financial reports (Includes but not limited to monthly sales tax, P&L, Income Statement) • Serve as the AR/AP point of contact • Maintains historical records by filing documents • Help update website as needed • Other duties as requested Job requirements include but are not limited to: *Strong leadership skills and customer service abilities *Proficiency in Microsoft Excel, word, Outlook *Knowledge of QuickBooks *Majoring or a degree in accounting or business administration a plus but not required • Bookkeeping experience/general understanding of accounting concepts or demonstrated competence in task assigned • Excellent analytical, problem solving and decision-making skills; high degree of accuracy, attention to detail and confidentiality • Excellent verbal and written communication skills, in person and over the phone. • Proficiency in Microsoft Office and Quickbooks or other equivalent accounting softwares • The ability to work independently and as part of a team Reports to: Owner/president Hours: 20 hours per week. *Flexible Schedule during office hours. Salary commensurate with experience. ($20-$25)
