Well-Known, Billion-Dollar Hedge Fund in Midtown Manhattan is seeking a new Full-Time/Permanent Executive/Administrative Assistant to join its collaborative and growing team! This person will be supporting 1 Partner, 1 Managing Director, and 2 Analysts, with back up coverage for 2 other EAs. Candidates must have a minimum of 2-4+ years of applicable office administrative experience and a Bachelor’s degree is required. This position is for a smart, detail oriented, flexible, high-energy Assistant with strong interpersonal and exceptional organizational skills, who enjoys a fast-paced environment and working on a team. Hours are 8:00am-5:00pm, with flexibility. Hybrid 3 days in office / 2 days remote. Responsibilities: Provide high-level executive administrative support to 1 Partner, 1 Managing Director, and 2 Analysts, with back up coverage for 2 other EAs. Schedule and organize extensive internal and external meetings, conference/video calls, and appointments, ensuring each team member is prepared for all meetings and calls; manage and maintain busy and ever-changing calendars. Register Analysts for conferences and help coordinate 1:1 management meetings. Coordinate complex domestic and international travel arrangements and detailed itineraries. Prepare, process, and submit expense reports. Provide phone coverage as needed. Assist with basic finance research and some personal work for the Partners as needed/required, including personal travel, doctor’s appointments, dinner reservations, etc. Requirements/Qualifications: Minimum 2-4+ years of applicable office administrative experience supporting senior level executives in a fast-paced, demanding environment. Bachelor’s degree required. Excellent communication skills – phone/email/etc. Exceptional organizational and multi-tasking skills. True team player. Ability to remain calm and composed during demanding periods – “thick skinned” personality with a real sense of urgency. Proactive and motivated, with a “can do” attitude. Willingness to go above and beyond; covering some personal tasks. Committed, mature, and hard-working with interest in growth and longevity. Strong Microsoft Office Suite skills.
