We are currently seeking an Administrative Assistant responsible for relaying incoming telephone calls, assisting customers, and providing administrative and organizational support for the Branch office, Sales Manager, Branch Manager and Corporate Office by performing the following duties. Essential Duties and Responsibilities: Answer multi-line telephone system. Assist with general Branch and customer correspondence. Responsible for shipping, receiving and other postal duties. Within ServSuite; setup new leads and customer accounts, maintain Branch account list, set payment plans for all recurring billing, assist with creating and completing work orders (on the job training). Send invoices to customers as needed, weekly/monthly account and workorder cleanup, running reports for monthly sales and renewals (on the job training). Orders Branch supply and maintenance products. Performs light in-house accounting, including the checkbook ledger, paying bills and expense reports. Maintains Branch office organization(not including warehouse where applicable). Branch liaison to Human Resources assisting with, compliance posters, interview and new hire paperwork, pesticide licensing for techs, notarizing compliance paperwork. Branch liaison to Accounting assisting with business license renewals, W9 and COI requests, direct bill contracts with vendors (specific to the Branch). Other duties as assigned. Requirements Education: High school diploma or general education degree (GED) required. Experience: Two years related experience in an administrative position required. Ability to speak, read and write well in Spanish is required. Ability to read and interpret documents such as safety rules and procedure manuals. Ability to speak and write effectively before customers and employees of organization. Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Word; Microsoft Excel; and Microsoft Outlook. Will be trained on ServSuite™ Equipment: Should be familiar with PC, Printers, Fax Machine, Copier, Mail Machine. Customer service, organization, planning and time management skills are a must. The employee must occasionally lift and/or move up to 10 pounds. While performing the duties of this job, the employee is regularly required to sit; use hands; reach with hands and arms and talk or hear. The employee is frequently required to stand and walk. The employee is occasionally required to stoop, kneel, and crouch. Restrictions: Full Time only. We perform background checks and drug screening. The Paralegal/Claim Analyst plays a vital role in helping clients recover unclaimed property by managing and analyzing claims from start to finish. This position requires strong analytical and critical thinking skills, attention to detail, and the ability to assess, track, and improve claim outcomes. The Claim Analyst ensures each case is processed accurately, efficiently, and in compliance with regulatory requirements.    Key Responsibilities:  Provide end-to-end case management for all claimants, including initial intake, needs assessment, progress tracking, and case closure.  Review and accurately input all claimant and case data into the CRM system.  Analyze cases to determine eligibility and plan the best approach for recovering assets on behalf of claimants.  Prepare and submit complete and valid documents to state agencies on behalf of clients.  Communicate with claimants through phone, email, or other channels to provide updates and request needed information.  Monitor all active cases, evaluate progress, and identify roadblocks or missing elements to move the claim forward.  Generate weekly or monthly reports summarizing claim activity, performance metrics, and progress for the Return Assets Division.  Maintain detailed records and case notes to ensure accurate tracking of all claimant interactions and case developments.  Identify opportunities to improve claim processing procedures and contribute to the development of internal workflows, documentation, and best practices.  Conduct trend analysis and contribute to the strategic improvement of claim outcomes and departmental performance.  Stay informed on relevant industry practices, regulatory updates, and professional development opportunities.  Support the team and organization by taking ownership of tasks and suggesting solutions that improve efficiency and service quality.  Assist with additional duties and projects as assigned.      Requirements Qualifications:  Strong critical thinking, problem-solving, and organizational skills  Ability to analyze data and make informed decisions  Excellent verbal and written communication  Detail-oriented with a strong commitment to accuracy  Proficiency with CRM systems and Microsoft Office Suite  Experience in claim processing, legal documentation, or financial services preferred  Benefits This is a temp-to-hire position. 20-30 hours a week at a range of $20-30 per hour, depending on experience.
