Job Title: Assistant Property Manager Location: Huntington Avenue & Frawley Delle Apartments Boston, MA 02115 Hours: Full-time Job Description: The Assistant Property Manager is charged with supporting the Property Manager’s efforts in the day-to day implementation of those policies, procedures, and programs that will assure a well managed, well maintained building, placing maximum emphasis on positive response to the concerns and needs of the residents, environmental health and safety, and quality programs, in coordination and conjunction with the Owner’s goals and objectives. Position responsibilities include, but not limited to: • Assist with Miscellaneous administrative duties; open and sort all mail, answer calls, respond to answering service messages, and trips to the post office. • Maintain property files, records, and reports. • Process all property invoices following HKM procedure in a timely manner. • Research all variances and/or receivables in a timely manner. • Carry out rent collection in accordance with collection policies which include: collection, posting, and deposit of rent, subsidy payments and other income in a timely manner. • Prepare and send rent reminder notices and provide Property Manager with a list of notices once they have expired. • Conduct all aspects of marketing including out reach, placing ads, greeting prospective residents, and processing proper paperwork/application. • Assist and implement a marketing campaign to effectively market all apartments. • Monitors and/or conducts follow-up calls and documents traffic. • Qualifies, and leases apartments in accordance to Fair Housing Guidelines. Assists in the review and /or processing of rental applications, lease forms, and reports to ensue they are properly completed according to property guidelines • Greet all residents and be available to assist with any questions • Assist Property Manager in resident retention and problem resolution with residents. • Approve and enter all maintenance work orders into the system and follows-up with residents regarding quality of service. • Perform all move-in and move out inspections to ensure the highest standards are maintained on the property. • Remain current with knowledge applicable housing policies/handbooks. • Assist on special projects or any other duties needed to meet business goals. Job Scope The Floating Assistant Community Manager assists the Community Manager in the successful site management of the apartment community providing the necessary leadership, guidance and motivation to ensure a positive working environment and quality community living. The Floating Assistant Community Manager will be available at various communities and will be responsible for administering the day-to-day leasing office operations and is responsible for overseeing all computer input of the apartment community. The Floating Assistant Community Manager directs the leasing staff, and works with the Community Manager to recommend marketing and leasing strategies designed to meet the goals of Shea Properties. The Floating Assistant Community Manager, as with all Shea team members, is expected to conduct himself/herself in a professional manner that is consistent with Shea Core Values and the Business Ethics, Employee Conduct and Confidentiality policy. Job Duties Leads and participates in lineup each morning. Ensures craigslist ads are posted daily. In conjunction with the Community Manager, supervises the input of all data into designated property management software and processing of related reports. Job Description Summary We are seeking a dedicated Community Manager to manage the day-to-day operations at our manufactured housing community, Country Estates (195 homes), located in Greeley, CO. This role includes managing team members, daily activities, and resources of the property to achieve established budgeted financial and operational goals and ensures that the operation of the property complies with company policies and procedures and other laws and regulations governing manufactured housing operations.  Key Responsibilities: Oversees the operational integrity of a manufactured housing community and support staff to ensure the company meets financial performance and compliance  Enforce lease agreements, community rules, and regulations Exercise commons sense, good judgement, and consistency with management related matters Oversee the application process for new move-ins Lead, coach, and motivate team members to ensure employees feel valued and empowered Build and maintain positive relationships with on-site teams, colleagues, residents, vendors, and stakeholders Ensures compliance with regulatory requirements, preparation, and submittal of reports to partner agencies Ensures that all property staff adheres to the policies and procedures Oversees the collection of rents and other monies and completes bi-monthly deposits of all monies collected Reviews all delinquent accounts, resident receivables, and accounting reporting Conducts interviews, hires, training, evaluations, development, and discipline of all on-site staff Meets with and responds to resident concerns and grievance requests.  Liaisons with local community development agencies and law enforcement.  Adheres to Fair Housing, Equal Employment and Equal Housing Opportunity requirements.  Ensures site staff responds to resident requests or complaints.  Manages legal work-up for property  Requirements Qualifications & Requirements: 1+ years’ experience managing a manufactured housing or multifamily community of 100+ units Strong interpersonal skills with the ability to foster positive relationships with residents and collaborate effectively with team members Exceptional time management and problem-solving skills Ability to handle conflict resolution, complaints, and provide a high level of customer service tailored to the community demographic Experience with rent collection and delinquency management Be able to identify areas for improvement and offer suggestions to improve the efficiency, productivity, and profitability of the property Ability to deliver excellent customer service, including responsiveness to tenant needs and community engagement Ability to handle complaints and ensure community standards are upheld Strong verbal and written communication skills to interact with tenants, contractors, and local authorities Familiarity with property management software and basic accounting systems Marketing and sales skills to promote vacant lots or homes and maintain high occupancy rates Must have a valid driver's license What Will Make You Stand Up: Skilled at and comfortable with adapting to changing priorities while ensuring residents feel heard and supported Brings a proactive, solution-oriented mindset, using available resources and company guidelines to resolve issues efficiently and independently Benefits Comprehensive benefits package including Medical, Dental, and Vision insurance, Life Insurance, Health Savings Account, Employee Assistance Program, and more 401k with company match Accrued 4-weeks of paid time off (PTO) Employee Referral Program Check out our Company and Community reviews! https://www.ipgliving.com/careers https://www.ipgliving.com/resident-testimonials If you are interested in having quick chat about this position, click apply now and we will reach out to you shortly!
