Executive Operations & Finance Assistant (Full-Time – Hybrid, Burlingame, CA) We are a boutique cross-border business group with active operations in fine wines, private wine labels, and real estate development & management across Hong Kong and the United States. We are seeking a trustworthy, detail-driven, and bilingual Executive Operations & Finance Assistant to provide full-time support across both business and personal matters. This is a high-impact role with strong growth potential as the company expands. Key Responsibilities • Manage business and personal financial accounts (bank, credit cards, equity investments). • Oversee cash flow, ensure timely bill payments, and track financial obligations. • Prepare documentation and supply records to outside accountants for annual tax returns. • Monitor and reconcile accounts; assist with budgeting and reporting. • Support executive scheduling, travel arrangements, and calendar management. • Review and organize emails, correspondence, and files. • Conduct research, troubleshoot issues, and independently drive projects to completion. • Provide administrative and operational support to multiple business units, including wine e-commerce and real estate projects. Requirements • Bilingual proficiency in English and Chinese (written & spoken). • Strong numeracy and analytical skills; comfortable handling financial data. • Ability to work independently, prioritize tasks, and maintain confidentiality. • Excellent organizational and communication skills (verbal & written). • Proficiency with Microsoft Office (Excel, Outlook, Word); QuickBooks knowledge a plus. • A proactive, solution-oriented mindset with ownership of tasks and deadlines.
