  This position will reconcile subcontractor/vendor invoices that do not match budgeted purchase orders and will maintain monthly statements of outstanding invoices with subcontractors/vendors. Assist construction personnel in complying with Purchasing Department procedures. Perform miscellaneous Purchasing Department activities such as analyzing, pricing, and researching various projects as well as miscellaneous backup functions (i.e., bid input, phone backup, etc.). From time to time must complete projects with short notice in extreme time constraints. Other duties may be assigned. Key Responsibilities ·  Issue Purchase Orders (POs) to internal customers for outside processing and services. ·  Reconcile purchasing and accounting documentation to ensure all transactions are complete and accurate. ·  Maintain inventory control processes and assist in cycle counts and stock level accuracy. ·  Coordinate with vendors and internal departments to confirm order status, pricing, and delivery timelines. ·  Assist in verifying vendor invoices and resolving discrepancies between POs, packing slips, and invoices. ·  Enter and track orders using QuickBooks and other internal systems. ·  Create and maintain basic Excel spreadsheets for tracking purchasing activity, inventory levels, and cost comparisons. ·  Communicate proactively with team members and external vendors to ensure prompt and clear information exchange. ·  Provide administrative support to the purchasing department as needed and carry out tasks assigned by senior management in a timely and thorough manner. The Executive Assistant provides executive support in a one-on-one working relationship and will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Senior Leaders. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented. Essential Duties and Responsibilities Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that are confidential; arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the Senior Leaders' schedule is followed and respected. Acts as gatekeeper for access to Senior Leaders. Researches, prioritizes, and follows up on incoming issues and concerns, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Provides a bridge for smooth communication between the Senior Leaders' office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the Senior Leaders to keep well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the Senior Leaders updated. Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects both internally and externally. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Assists in coordinating the agenda and logistics of senior management team meetings. Requirements High school diploma or equivalent required; college degree preferred. Requires a minimum of 5 years of executive level support experience. Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint.
