Description

The Service Coordinator effectively coordinates and schedules Service for 8 field technicians. They ensure customer expectations and commitments are met through effective communications with our customers, providing support and information, prioritizing service calls and direct coordination with field employees.  This position is responsible for assisting in the operation of department. An individual in this position will be expected to perform additional job-related responsibilities and duties throughout the facility as assigned and or as necessary. Essential Functions:  An individual must be able to successfully perform the essential functions of this position with or without a reasonable accommodation.  Set up T&M projects in ERP System. Review Work orders daily and determine if billable. Upon notice from Payroll Administrator, complete Invoicing for work completed the previous week. Follow up on outstanding receivables and work with Business Manager to determine course of action for past due amounts. Enter new service agreement projects in ERP system and schedule associated Preventative Maintenance site visits. Complete Monthly Service Subscription billing by the 6th business day of the month for any customer with an active Service Agreement. Maintain Service Subscription accrual schedule throughout the month. Follow up on outstanding receivables and work with Business Manager to determine course of action for past due amounts. Upon notice from Service Manager, invoice small job projects. Attend monthly small job meeting with Service Manager and Business Manager. Follow up on outstanding receivables and work with Business Manager to determine course of action for past due amounts. Serves as a point of contact for service customers by answering calls and emails to ensure customer expectations are met. Proactively follows up with customers after completion of service visits. Work with Service Manager to determine scheduling and movement of manpower and materials. Schedules and dispatches field labor force to meet customer needs and expectations based on the nature of the call (Emergency, Preventive Maintenance, available resources, and customer needs). Effectively utilizes Service Software in the delivery and management of service activities: opening work orders, supporting and scheduling planned preventive maintenance visits and updating customer information. Provides administrative support. Delivers outstanding customer service.  Support a performance-based culture, both team and individual, to assure continuous improvement and alignment with enterprise vision, mission, and objectives. Provide direct support for the field team including supervisors and technicians. Ensure regulatory compliance across a range of federal, state, and local agencies. Ensure that all quality and safety standards, specifications and policies are met, drive continuous improvements, and collaborate with the team to drive efficiencies. Support a culture based on open/honest dialogue and involvement with all team members that demonstrates the value of their input and engagement in improving performance. Support a culture of high performance and accountability in employee and site safety as well as other aspects of the business. Requirements Knowledge & Skills required:      3-5 relevant work experience in the field or relate area that provides the requisite knowledge, skills and abilities for the job. Equivalent experience, vocational school, or an Associate degree in Accounting or Business is preferred. Ability to work independently, take initiative, manage priorities, and see projects through to completion. Working knowledge of basic accounting functions (AP, Percentage of Completion method) and ability to coordinate with multiple internal departments (Operations and Accounting). Knowledge of Microsoft AX or project percentage billing (AIA) required. Prior experience supporting construction and field employee groups, including strong problem-solving skills, critical thinking, and self-initiative. Commitment to “open door” and comfort with production floor presence and contact with all field employees. Excellent written and verbal communication, interpersonal skills; high quality document and report preparation. Experience working in an entrepreneurial environment requiring strong multi-tasking abilities. Key leadership competencies in addition to high ethical standards, strong values, integrity, drive to deliver results, pride in personal and team performance, decision quality, building effective teams, and action orientation are fundamental imperatives.   Physical Activities:   While performing the duties of this job, the employee is regularly required to sit, stand, talk and hear.  The employee frequently is required to walk, move up and down stairs, use hands and arms to handle, feel and reach, push, pull bend and twist.  Read information, often in small print.  Enter and locate information on a computer system or communication device.  Write documents, reports etc. using a writing instrument (e.g., pencil, pen) or computer. Operate a variety of automated office machines including calculator, copier, computer, telephone, fax machine etc. Working Conditions:  This position is in an office environment with moderate to low noise levels and is typically sedentary.  While performing the duties of this job, the employee is occasionally exposed to varying temperatures, work areas that may be slippery and or wet, near equipment and mechanical moving parts.   Work indoors for extended periods of time.  This position does not offer remote work.
