About Us: We are a process-oriented, boutique international trade and regulatory compliance law firm seeking a mid-level contract Associate Attorney who can support our team primarily in the areas of CBP, FDA, OFAC, BIS and other federal law areas. We are a process-oriented regulatory compliance law firm poised for rapid growth, and we are seeking an experienced professional who can take on a wide variety of responsibilities as our next Legal Administrative Assistant. This is a fully remote position. To be successful in this position requires the right combination of task management and organizational skills, top communication abilities, research and writing skills, filing and data entry know-how, attention to details, confidence, humility, and an ability to follow instructions and meet deadlines. This position also includes handling intake meetings with potential new clients over the phone and communicating with potential new clients via email as part of our intake process. You will be trained on the firm’s approach to these conversations and expected to follow our internal procedures. The scheduling and support of case assessment meetings will also fall under your responsibilities. Your Role: The core mission of the Legal Administrative Assistant is to support the firm’s internal operations, intake process, and client management with consistency, attention to detail, and professionalism. You will convey confidence on the phone and via email, demonstrating exceptional communication skills and an ability to develop rapport with prospective clients, current clients, and referral sources. Working independently, you complete known daily tasks, whether administrative or client-related, and help support the team with the completion of theirs as needed. Your deliverables are organized and error-free and provide a means to trace back how you drew your conclusions and outcomes through thorough citations. An ability to successfully navigate and utilize the firm’s software, including Clio, Lawmatics, Cytracom, and other platforms as needed is expected. While this position is not responsible for marketing, we welcome someone who is open to participating in our firm’s marketing efforts when asked, such as taking part in educational videos for our YouTube channel. Required Skills: • An ability to sound like you are smiling when you answer the phone • Top-notch skills with MS Office 365 Suite • Embrace attention to detail, transparency, and accountability • Experience with electronic filing and use of Adobe Acrobat • Get a kick out of figuring things out • Manage your time like a champ • Schedule appointments and events with ease for multiple people • A penchant for following instructions and work well with rules • No fears about asking for help and exposing a lack of clarity or uncertainty about a task to perform • Demonstrated successful drafting of documents, free of errors of all kinds (yes, we mean ALL kinds) be they grammatical, spelling, syntax-related, a lack of clarity, or otherwise Your Core Competencies: • Self-motivated team player with a strong work ethic • Strong multi-tasking and task management skills • Follow (all of the) instructions given to you • High level of integrity and personal accountability • Self-driven • Strong communication skills • Hold a standard of excellence • Think broadly/big picture • Meticulous in delivering a high-quality work product Your Education and Background: This is not an entry level position. Prior law firm experience in an administrative capacity is a must, and a B.A. or B.S. degree is required from a U.S. institution. Fluency and mastery of the English language is required.
