Key Responsibilities Marketing & Referral Development Research and identify referral sources (attorneys, school districts, advocates, pediatricians, etc.). Conduct outreach to potential referral sources via email, phone, or LinkedIn. Maintain a referral database and track outreach progress. Create marketing materials (flyers, presentations, newsletters) using Canva or similar tools. Assist with managing social media presence and professional networking platforms. Communication & Inbox Management Manage and organize email inbox; flag urgent items and draft responses when appropriate. Send timely, professional communications to referral sources, clients, and schools. Schedule meetings and follow up on pending communications. Client Intake & Administrative Support Respond to new client inquiries and provide initial intake forms. Collect, organize, and securely manage intake documents. Schedule initial consultations and testing appointments. Maintain accurate client records with confidentiality. Ongoing Administrative Support Track deadlines, case progress, and follow-up tasks. Create and maintain simple spreadsheets, reports, and project trackers. Daily & Weekly Tasks Daily Monitor and manage email inbox. Respond to new inquiries or referrals. Update referral outreach tracker. Weekly Send outreach emails or calls to potential referral sources. Draft or design marketing content (social media posts, newsletters, flyers). Update referral and client intake databases. Meet briefly with neuropsychologist (via Zoom/Slack) to review priorities Platforms: Zoom, Google Workspace (Docs, Sheets, Drive, Calendar), Canva, LinkedIn (or similar email platforms), Trello, Asana, or equivalent (if needed) Requirements Prior experience in healthcare, psychology, education, or legal services settings (a plus) Prior administrative, marketing, or virtual assistant experience, or experience in the field of K-12 education (a plus) Background in marketing, referral development, or client intake (a plus) Strong written and verbal communication skills. Familiarity with outreach, sales, or client communication. High level of professionalism, confidentiality, and discretion. Ability to manage multiple projects with attention to detail. Flexible scheduling with some overlap in business hours (Pacific Time preferred). Responsiveness expected within 24 hours for communications. You’ll design and maintain data pipelines, APIs, and integrations that connect our GTM stack (Salesforce, enrichment, outreach, analytics) with product and BI systems. You’ll write code to automate lead flows, scoring, and enrichment in real time. And you’ll build the technical foundation that allows our GTM teams to move with speed and precision. If you like solving messy systems problems, shipping code that eliminates manual work, and making measurable dents in funnel velocity, this role is for you. Core Responsibilities Lead Funnel Automation & Data Pipelines Build services that capture, clean, normalize, enrich, and score leads in real time (from LinkedIn, product signups, website traffic, event lists, etc.). Maintain reliable APIs and event-driven workflows to enable immediate follow-up by sales. Systems Design & Integration Engineer integrations across Salesforce, outreach tools, enrichment APIs, and product analytics. Partner with data engineering to ensure GTM data flows seamlessly into Snowflake/BI systems. Process Automation Replace manual GTM tasks (list-building, routing, reporting) with scalable, code-driven solutions. Document and productionize experiments so they can be repeated, measured, and scaled. Data Quality & Observability Own GTM data accuracy and reliability across systems. Build dashboards and monitoring to give GTM teams real-time funnel visibility. Requirements 5+ years engineering experience in a technical GTM, revenue systems, or data engineering role at a fast-paced SaaS company. Strong coding ability in Python or JavaScript for APIs, scripting, and automation. Experience designing data pipelines and integrations across Salesforce (preferred), enrichment, outreach, and analytics platforms. Comfort with workflow automation/orchestration tools (Zapier, n8n, dbt, Workato). Systems thinker: you understand data models, event flows, and trade-offs in distributed systems.
