Description

The Academic Service Manager is integral to the success of Tutor Me Education by implementing and coordinating on-site tutoring programs for thousands of students, tracking student progress, and providing quality customer service to school districts. The Academic Service Manager must be highly organized, prompt, communicative, and efficient. The ideal candidate should feel at ease commuting daily to a different school location within Los Angeles and possess a thorough grasp of K-12 teaching methodologies. Service Delivery Ensure the effective delivery of outstanding academic services to students and their families Ensure success of our tutor team through on-site training, coaching, and professional development Ensure delivery of programs and initiatives for our students and school district partners Manage class schedules in order to effectively staff sessions and meet company efficiency and usage targets Monitor student academic progress on both individual and groupwide scale Conduct conferences with stakeholders to review progress, adjust academic plans, and renew enrollments Foster an environment of open communication with students and parents to ensure positive and effective conflict resolution Handle other tasks as-needed to ensure high-quality services are delivered Administration Actively support and oversee Tutor Me Education Regional Operations through timely submission of reports, diligent note-taking, and efficient task prioritization Operate seamlessly in a remote-first management environment Provide virtual administrative support to Regional Operations including answering phones, managing daily business data, and logging detailed notes of communications with schools, tutors, and staff Ensure time management in compliance with company and regulatory requirements Big-Picture Maintain Tutor Me Education operational excellence standards including personnel, financial, and academic standards Help ensure flawless execution of programs and initiatives Tutor Me Education is an equal opportunity employer. Develop and implement systems to ensure accurate and timely data entry across all content areas (enrollment, health, family services, education, disabilities, etc.). Create, maintain, and update dashboards, tracking tools, and monitoring reports for program leadership and stakeholders. Perform regular audits of data to ensure integrity, completeness, and accuracy; resolve discrepancies in collaboration with relevant staff. Reporting & Analysis: Generate routine and ad-hoc reports for internal use and external reporting (e.g., PIR, state reports, monitoring reviews). Analyze trends, patterns, and performance outcomes to support strategic planning and continuous quality improvement. Prepare data for Board, Policy Council, funders, and community presentations. Training & Support: Train and support staff in effective data entry and usage of ChildPlus, including development of user guides and best practices. Serve as the primary point of contact for all ChildPlus-related questions, troubleshooting, and customization requests. Coordinate with IT or software vendors to ensure system functionality and implement updates or enhancements. Program Coordination: Participate in internal monitoring, self-assessment, and strategic planning activities. Support integration of data systems across departments to streamline processes and enhance service delivery. Ensure confidentiality and security of all child, family, and program data in accordance with agency policies and federal guidelines (FERPA, HIPAA, etc.).
