Please take the following steps: - You will need to send a letter informing the resident that you have inspected the apartment, what was found, and what steps need to be taken. In the notice include the dates and times you will have a vendor come in to provide a proposal for remediation. @Aaron Heming or @Legal Issues can assist with finding a vendor since Luis is out. Also include in the letter that they will need to vacate into a hotel or vacate the apartment permanently for remediation to begin. - In addition to the letter, please post a 24 hour notice to enter for the date the vendor will be present. - You may also file a renter’s insurance claim on their insurance for the damages. Since Luis is out of the office, @Ruby Indra can help with this, if needed. I recommend that you share pictures with their insurance adjuster and inform them that the resident will be responsible for the organic growth for failure to properly ventilate and that the claim is for damage costs, as well as alternate accommodations. If they deny the alternate accommodations, they may approve the damage related costs. - Once a proposal is received, we should have alternate accommodations finalized for this household. When we are ready to begin remediation, please post another 24-hour notice of entry and send an email reminding them that they need to vacate. If they deny entry or fail to vacate, post another 24-hour notice for entry. If they deny entry on this date, or fail to vacate, please notify CC so that we can prepare a legal notice for this household. If insurance denies hotel accommodations for the resident, you can give the residents the option to vacate which will require an Early Termination Agreement. You can also transfer them if @Ruby Indra is okay with it; however, they need to understand that if this occurs in the transfer apartment, they may face eviction.
