Summary of the Role The Executive Assistant will provide dedicated administrative support to the firm’s Managing Partner and a Tax Partner, ensuring their time is optimized and priorities are managed effectively. This role requires a high level of professionalism, discretion, and the ability to balance multiple responsibilities in a fast-paced environment. The Executive Assistant will work closely with clients as a primary point of communication and will play a critical role in supporting the tax process during busy seasons. This is a full-time, on-site position based in our Richmond office, Monday through Friday, with additional Saturday hours required during the Spring tax season. Key Responsibilities Provide direct administrative support to the Managing Partner and Tax Partner, including managing calendars, scheduling meetings, and coordinating travel. Act as a gatekeeper for the Partners, prioritizing requests, correspondence, and communications. Support client relationship management by preparing engagement materials, tracking deadlines, and monitoring deliverables. Coordinate internal and external meetings, including preparation of agendas, minutes, and action items. Play an active role in the tax process during busy season, including coordinating and gathering client documentation, tracking filing deadlines, and ensuring accuracy of submissions. Maintain confidentiality with sensitive information and exercise sound judgment at all times. Proactively anticipate needs of the Partners and provide solutions to increase efficiency. Collaborate with other administrative staff to support broader firm initiatives as needed. Assist with time entry, expense reports, billing, and other administrative tasks related to client engagements. Requirements Experience Minimum 3–5 years of executive or senior-level administrative support experience, preferably in a professional services environment (accounting, legal, consulting, or financial services). Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with accounting software a plus. Education High School Diploma, GED or equivalent required with a College degree preferred Skills and Abilities Strong organizational skills with exceptional attention to detail. Clear and effective communication skills, both written and verbal, with the ability to interact professionally with clients and team members at all levels. Ability to manage multiple priorities and projects in a deadline-driven environment with accuracy, speed, and commitment to quality. High degree of professionalism, discretion, and independence when handling confidential information. Strong interpersonal skills with a client-service mindset. Demonstrates flexibility, teamwork, and a positive attitude.
