We are seeking a motivated and organized Administrative Assistant to join our team full-time. You are detail-oriented, thrive in a fast-paced environment, and have excellent communication and customer service skills. This role is responsible for handling inbound calls, scheduling service appointments, managing administrative tasks, and ensuring a smooth and professional customer experience. KEY RESPONSIBILITIES: Answer incoming phone calls and emails from customers and vendors in a professional manner Schedule and coordinate service calls and installations with field technicians Maintain up-to-date technician calendars and job schedules Create and manage service tickets and documentation in company systems Provide administrative support including data entry, recordkeeping, and general office duties Assist with generating invoices and tracking billable work Communicate clearly with customers, technicians, and internal staff to ensure expectations are met Adapt to and perform effectively in a fast-paced, team-oriented environment QUALIFICATIONS: Previous experience in a dispatcher, administrative, or coordinator role (fire/life safety, construction or other service-based industry preferred) Strong verbal and written communication skills Strong organizational skills and attention to detail Comfortable with multitasking and shifting priorities under time constraints Proficiency in Microsoft Office (Word, Excel, Outlook) and online tools. High school diploma or equivalent required; post-secondary education is a plus BENEFITS: Competitive compensation based on experience.
