Data Manager (Head Start/Early Head Start)

EPIC Early Learning is looking for a Data Manager to join our dedicated team. As a private, nonprofit organization, EPIC has been providing early childhood educational services to children and families in Central Washington for over 45 years. Our mission is to ensure that every child has the best possible start in life by creating a nurturing and supportive environment that promotes their emotional, social, and intellectual growth.
The Data Manager is responsible for overseeing the collection, entry, integrity, analysis, and reporting of program data to ensure compliance with federal, state, and local requirements. This position plays a critical role in monitoring performance, supporting continuous quality improvement, and ensuring accurate and timely reporting using ChildPlus and other data systems. The Data Manager collaborates with program managers and staff to ensure data-driven decision-making and effective program implementation.
Responsiblities:
Maintain and manage comprehensive data systems using ChildPlus to support compliance with Head Start Program Performance Standards, DCYF/ECEAP, and other funding and licensing requirements.
Develop and implement systems to ensure accurate and timely data entry across all content areas (enrollment, health, family services, education, disabilities, etc.).
Create, maintain, and update dashboards, tracking tools, and monitoring reports for program leadership and stakeholders.
Perform regular audits of data to ensure integrity, completeness, and accuracy; resolve discrepancies in collaboration with relevant staff.
Reporting & Analysis:
Generate routine and ad-hoc reports for internal use and external reporting (e.g., PIR, state reports, monitoring reviews).
Analyze trends, patterns, and performance outcomes to support strategic planning and continuous quality improvement.
Prepare data for Board, Policy Council, funders, and community presentations.
Training & Support:
Train and support staff in effective data entry and usage of ChildPlus, including development of user guides and best practices.
Serve as the primary point of contact for all ChildPlus-related questions, troubleshooting, and customization requests.
Coordinate with IT or software vendors to ensure system functionality and implement updates or enhancements.
Program Coordination:
Participate in internal monitoring, self-assessment, and strategic planning activities.
Support integration of data systems across departments to streamline processes and enhance service delivery.
Ensure confidentiality and security of all child, family, and program data in accordance with agency policies and federal guidelines (FERPA, HIPAA, etc.).
Be committed to characterizing a culture of safety within our centers, playgrounds, buses and anywhere that children may be present. Be familiar with and encourage EPICs culture of “Speak up, Speak out”.
Requirements
Bachelor’s degree in Data Management, Information Systems, Early Childhood Education, or a related field.
Minimum 2 years of experience with data systems in a nonprofit, Head Start, or early learning environment.
Advanced proficiency in ChildPlus required; experience with exporting/importing data, report creation, and custom module use strongly preferred.
Strong analytical, organizational, and communication skills.
Ability to manage multiple deadlines with accuracy and attention to detail.
Commitment to equity, inclusion, and the mission of early childhood education.
Experience with low-income families preferred.
Willingness and ability to travel alone to all of EPIC's sites and to conferences and meetings outside of EPIC's service area.
Valid Washington State Driver's License, own transportation and required auto insurance.
Pay Level: $73,000 to $76,500, Non-Exempt (Hourly Management)
