Front Office Assistant Advanced Acupuncture and Chinese Herbal Clinic is hiring for a Front Office Assistant. Shift: Friday and Saturday 8:30am – 5:30pm Pay: $17 per hour to start. Increase potential after 90 days. Benefits: Acupuncture, PTO and paid holidays after 90 days. You will be a vital link between the office team, patients and the providers. You will ensure smooth operations, efficient communication, and a positive patient and provider experience. Must be punctual, detail oriented, willing to learn and to interact as a team. Exceptional phone etiquette and peaceful, positive attitude required. Communication skills, both written and verbal, are key. Business casual dress code. Key Responsibilities and Duties: • Patient Interaction & Scheduling: • Greeting patients, answering phones, scheduling appointments, and managing patient flow. This often involves confirming appointments, sending reminders, and coordinating with patients regarding their needs. • Administrative/Office Tasks: • Handling all opening and closing duties. Maintaining patient records, including updating information, filing documents, and ensuring accuracy in electronic claim processing systems. Handle insurance verification, billing, and processing payments. Cleaning and preparing rooms between patients to include washing/drying/folding of laundry each day. • Communication & Coordination: • Answering patient questions, providing directions, and relaying information to medical staff. They may also communicate with insurance companies, other medical offices, and external parties as needed. • Office Management: • Maintaining a clean and organized front office environment, ensuring supplies are stocked, and handling general administrative tasks to support the smooth operation of the office. • Customer Service: • Providing excellent customer service to patients and visitors, ensuring a positive and welcoming experience. • Technology & Software Proficiency: • Utilizing office software (Office Ally, Availity, QuickBooks), appointment scheduling systems, and other technologies to manage patient information and office operations. • This position requires physical abilities to sit, stand, walk, stoop and bend.
