Texas Health Action (THA) is a community-informed non-profit organization dedicated to providing access to culturally affirming, quality health services in a safe and supportive environment, with expertise in serving LGBTQIA+ people and those impacted by HIV. Kind Clinic proudly serves Texas with four vibrant locations: two in Austin, one in San Antonio, and another in Dallas plus virtual care services available to all residents across Texas. Bolstered by Waterloo Counseling Center and a passionate team of over 250 dedicated employees and volunteers, THA is at the forefront of promoting healthcare equity and accessibility throughout the state. Texas Health Action (THA) invites qualified vendors to submit proposals to meet Kind Clinic’s photo and video production needs for the September 2025 – September 2026. The purpose of this RFP is to solicit competitive bids to ensure all needs are executed with the best value. The organization welcomes proposals from full-service vendors able to fulfill all production needs through this application, as well as from specialized vendors focused on individual areas of production through the links below. Short-Term Brand Photographer Position Campaign Photographer/Videographer Video Series Videographer/Video Editor Vendor Selection Criteria Vendors will be selected based on competitive pricing and the degree to which they can meet the organization’s specific needs. Vendors must align with THA and Kind Clinic’s commitment to judgement free, culturally affirming support of LGBTQIA+ people and people living with HIV. Vendors must be able to produce semi-explicit content (underwear, intimate poses, but no full nudity. Ideally vendor has experience in this content style and can make talent comfortable. Consent is mandatory. Vendor must agree to the terms of THA’s General Creative/Marketing Contractor Agreement, specifying release of intellectual property ownership to the organization. Vendor 1: Short-Term Brand Photographer Position Kind Clinic seeks a experienced photographer to capture high-quality photo and video assets of Kind Clinic's locations in Austin (2), Dallas (1), and San Antonio (1) for our brand photography library. The Kind Clinic Creative Team will setup shoot dates for each city's clinic locations in coordination with the photographer and staff. Scope of Work Photographer must provide 30 assets per city (90 total) of Kind Clinic buildings and staff. File Formats:  Final Photography: Jpeg and PNG  Raw Photography: RAW (.CR2/3, .NEF, .ARW, .RAF, etc.)  Raw Video: Apple ProRes 422 HQ (or equivalent high-bitrate, edit ready format)  Style & Tone: Reflects Kind Clinic’s friendly, LGBTQIA+ affirming, authentic brand experience. Stock photography setups with our uniquely queer aesthetic, and welcoming staff.  Locations: Vendor will need to shoot on-site in our Kind Clinic locations in Austin, Dallas, and San Antonio   Talent & Coordination: Kind Clinic’s Creative Team will coordinate staff and location availability. Vendor 2: Campaign Photographer/Videographer Kind Clinic seeks experienced Photographer/Videographers to capture high-quality photo and video assets for Kind Clinic's quarterly PrEP acquisition campaigns. Each quarterly campaign will have its own focus and branded theme, decided in advance. The ideal vendor would be on retainer for multiple quarters, starting immediately. Individual photographer/videographers and/or production teams are welcome to apply. Brand Photography | Quickview  Sample Ad Content   Scope of Work (per Quarter)  Deliverables: 30 – 50 total assets of mostly photos with some video content. Vendor should deliver raw photos and videos, as well as color-corrected photography. Video content may require in-video audio or voiceover.   File Formats:  Final Photography: Jpeg and PNG  Raw Photography: RAW (.CR2/3, .NEF, .ARW, . Majority Austin-based, but vendor may be required to travel within Texas.   Talent & Coordination: Kind Clinic’s Creative Team will provide input and direction on casting and work collaboratively with vendors suggestions of authentic models from local LGBTQIA+ community. Kind Clinic will provide budget for wardrobe, props, etc.  Timeline & Turnaround  Shoots: Quarterly First Proofs: 6 weeks from publish date Final Delivery: 1 month from publish date  Revisions: 1 round of revisions for color correction on photos. Vendor 3: Video Series Videographer/Video Editor Kind Clinic seeks experienced Videographers and Video Editors to produce episodes of Kind Clinic's series Navigaytion. This is a monthly project requiring both videography and video editing services. Vendors are welcome to apply for either or both services. Navigaytion Episodes Starting in August of 2025, Navigaytion will be shifting to social-focused episodes only and de-prioritizing long-form YouTube episodes. Linked below are the full episodes and teaser social content that capture the tone and narrative structure of the series. Episode 1: Full YouTube Episode and Social Content  Episode 3: Full YouTube Episode and Social Content  Episode 5: Full YouTube Episode and Social Content  Scope of Work Deliverables: 3-4 shortform episodes per month, ranging from 30 seconds to 3 minutes each. Final exports should be sized as Instagram Reel/Tiktok compatible. Raw principal and b-roll raw footage must be made available in delivery of final episodes.  Final Delivery Specs for Edited Video:  File Format: .mp4 (H.264 codec) Resolution: 4K, optimized for vertical Aspect Ratio: 9x16, as well as 4:5  Raw Video: Apple ProRes 422 HQ (or equivalent high-bitrate, edit ready format)  Style & Tone: Each episode features THA CEO Christopher Hamilton and a special guest diving into a queer sexual healthcare topic in an engaging, and informative conversation laced with cheeky innuendo and playful editing antics. Locations: Filmed on-location in our Austin-based Cinemaker Space studio. There is some potential for travel to Dallas or San Antonio in the future.  Video Editing duties may be performed remotely. Talent & Coordination: Kind Clinic’s Creative Team is responsible for scripting, casting, and coordinating key set details.  Resources: THA resources including stock photography, sound subscriptions, and some equipment may be made available to video editor(s).  Timeline & Turnaround  Shoot: Monthly First Proofs: 2 weeks before publish date. Final Delivery: 5 days before publish date Revisions: 3 rounds of revisions included. Usage & Rights  Final assets will be used in organic and paid social, paid and out-of home advertising, print, digital and more. Unlimited digital and print usage in perpetuity. Videographer/Video Editor must sign NDA if applicable. Talent must sign image release form and NDA if applicable.
