PRINCIPAL DUTIES AND RESPONSIBILITIES Position Description Experience in Unlawful Detainers, Probate, Civil Litigation, Restraining Orders and Criminal Defense are a plus. Complete Judicial Counsel and Local Court Forms •Processes paperwork for new clients efficiently and in accordance with protocols. •Obtains pertinent information from new clients by asking them to complete surveys or interviews courteously and professionally. •Adheres to the facility dress code and appears professional at all times. Required Knowledge, Skills and Abilities •Demonstrates the ability to use standard office equipment such as telephones, computers, copiers, fax machines and others. •Displays the ability to communicate with others effectively, listen closely and convey points clearly. •Shows proficiency with computer programs which may include Microsoft Word, Excel, PowerPoint, Outlook, Google Calendar, G-Drive, Insightly and others.‎ •Possesses the ability to adjust to constantly changing workloads. Duties and Responsibilities • Investigating the factual evidence of a case and preparing exhibits, charts and diagrams to display information • Drafting legal court documents, such as pleadings, motions, affidavits and subpoenas; documents, such as trusts, wills, contracts and real estate leases; and closing documents • Conducting routine discovery • Obtaining due diligence materials, such as corporate certificates of good standing, real estate and title information • Organizing and tracking files for important case documents, including pleadings and voluminous discovery documents; creating and maintaining a case-management database • Attending and taking notes at meetings and assisting lawyers in collecting legal and factual documents • Communicating by phone with opposing counsel and other parties, clients, judicial administrative staff and vendors • Scheduling depositions, site inspections, hearings, closings and meetings for lawyers and other legal staff • Preparing legal documents and notices, and updating transactional documents with the most recently negotiated language • Transmitting legal correspondence to clients, witnesses and court officials by electronic filing, mail, fax or messenger • Completing administrative forms, such as time cards and expense reports. Other duties include plans organizing and maintaining case and correspondence files Organize documents and coordinate document productions. Conduct the Bates-stamping, redaction, duplication and indexing of documents. Set up and maintain files which are organized chronologically, numerically and/or by subject matter. Under the guidance of an attorney, categorize documents by subject matter and prepare a chronology of facts. Prepare witness and matter materials for case preparation. Organize interview memos, digests and other relevant documents for attorney review and case preparation. Prepare for depositions by preparing documents relevant to the deponent, organize exhibits, and digest transcripts to summarize highlights of a proceeding. Pull relevant documents, proofread papers, organize exhibits and create document indices in the preparation of motion filing.‎ Work with attorneys in the preparation and filing of all court documents. Create, bind and distribute both file and courtesy copies. Organize the briefs, exhibits and appendices. Oversee the progress of documents, order transcripts from reporting services and fulfill requests from outside counsel and others. Daily Responsibilities: E-filing, at the Superior Courts, taking mail to the Post Office and picking up discovery at the District Attorney's office. Prepare for trials. Organize exhibits, files and all other supporting documents, coordinate trial set-up and logistics, assist in the preparation of witness testimony and serve as liaison between trial attorneys and in-house staff.
