The Opportunity We’re hiring a seasoned Executive Assistant to support our Co-Founders. You’ll protect their time, sharpen communication, and keep complex projects moving. What You’ll Do Calendar & Priority Management: Run complex, dynamic calendars across time zones; resolve conflicts and safeguard focus time. Inbox & Communication: Triage high-volume email; draft/refine investor-grade messages, meeting recaps, and internal notes. Delegate: Delegate emails from owners to other team members who are suited for the task. Meeting Orchestration: Create agendas and briefing packets; capture decisions/action items; drive follow-through. Travel & Event Logistics: Coordinate multi-leg travel and last-minute changes; support webinars, onsite tours, and offsite. Project Coordination: Track due diligence checklists, closing timelines, and cross-functional tasks; escalate risks early. Content & Brand Support (light): Coordinate podcast/guest logistics and scheduling with marketing partners. Knowledge Systems: Maintain organized docs, templates, and searchable folders in Google/Microsoft + CRM/task tools. Confidentiality: Handle sensitive investor and company information with impeccable judgment and discretion. Requirements What You’ll Bring 10+ years supporting founders/C-suite principals in fast-moving environments. Industry knowledge in real estate investment, multifamily/property management, or private equity environments. Elite calendar + inbox command; proven ability to anticipate needs and make sound tradeoffs. Outstanding writing (concise, polished, error-free) and strong verbal communication. Experience coordinating domestic travel and executive events. Fluency with Google Workspace or Microsoft 365, Zoom, Riverside, Slack/Teams; fast learner of CRM/task tools (Airtable/Asana/ClickUp/Notion). Proactive, anticipatory working style with strong ownership and a service mindset; low-ego, high-integrity collaborator. Assist with collections and other legal matters relating to Customer defaults. Assist with and manage Accidents, litigation, and other related topics around daily business operations. Assist and guide HR on its activities and needs. Manage all other company legal activities and decide what work would need to be outsourced and what could be handled in-house. Provide legal advice on general business topics. Conduct internal training and provide legal guidance on compliance issues as necessary. Manage external counsel as necessary. Assist with the purchasing of Insurance and help manage Company insurance programs. Provide other legal support as necessary. Experience, Competencies, and Education: Law degree (Juris Doctor) from an accredited institution is required. Admission in good standing to the New Jersey bar is required. A Minimum of 8 - 10 years of experience in areas of specific responsibility gained either in a law firm or an in-house environment although candidates with substantially more experience will be considered. Experience and skills associated with the transportation industry is a plus. Experience working in or closely with a mid-size, privately-held company and working knowledge of the industry issues facing our company is a plus. Must have excellent writing and verbal skills and superior organizational skills. Must be a team player and have strong interpersonal skills as well as the ability to effectively interact and build relationships with employees at all levels of the business.
