The Virginia Society of CPAs (VSCPA), a professional state association located in Richmond, Va., is currently seeking an Event Specialist with 3+ years of professional experience. This individual is responsible for implementing in-person and virtual events. The ideal candidate will have event planning, project management, and customer service experience. This position is an essential part of the VSCPA’s learning team that supports our mission to help our nearly 12,000+ members thrive. This position will report to the Senior Director, Learning.       About the Role   Manages the logistics process for in-person and virtual events across the organization. Responsibilities include, but are not limited to, setting up events in our internal system, coordinating with vendors and speakers, selecting food and beverage options for participants, monitoring conference budgets, and overseeing all aspects event operations.  Attends event planning meetings to ensure the goals and priorities are integrated into logistic plans  Collaborate with the Online Event Coordinator and Learning Operations & Technology Manager to create cohesion with live, simulcast and virtual events.  Ensures accurate database and website management for event related information  Serves on our internal customer service team providing exceptional and timely service via phone/email/chat to VSCPA membership   Supports VSCPA building rental and onsite support.  Requirements Education & Experience: Bachelor’s degree required, plus a minimum of 3 years of professional experience in meeting or event planning. Experience working in an association or nonprofit setting is a strong plus.  Project Management Pro: Proven ability to plan, coordinate, and execute multiple events and initiatives at once, ranging from intimate networking gatherings to large-scale programs with 200+ attendees.  Tech Confident: Strong experience using event management platforms, databases and other digital tools to streamline planning and execution; Proficient in Microsoft Office 365 tools.  Exceptional Organizer: Strong organizational skills with the ability to manage details, timelines, and budgets while never losing sight of the strategic goals behind each event.  Skilled Communicator: Excellent verbal and written communication skills. You can craft clear, professional emails and meeting notes, and communicate confidently with internal and external stakeholders.  Problem Solver: Self-motivated and resourceful, with the ability to anticipate roadblocks, develop creative solutions, and adapt plans while staying within budget and focused on member value.  Data-Informed Planner: Experience tracking participation, managing budgets, and analyzing data to forecast future needs and optimize event outcomes.  Collaborative Mindset: Eager to work with cross-functional teams, engage with volunteers, and build relationships with partners to deliver high-quality member experiences.  Agile & Adaptable: Thrive in a dynamic environment where plans shift and priorities evolve. About This Role: The Event Production Assistant will join our existing event production department and take a key role in managing the logistical needs of our production calendar for both live and virtual events, responsible for daily delivery of highly responsive service via email, phone, and face-to-face communication. This role also requires traveling to other cities for in-person events.
