Description

Position Overview 30 to 40 hours per week. The Administrative Assistant supports the daily operations of Stewards of the Coast and Redwoods (Stewards), located in Armstrong Redwoods, Guerneville, California, by managing communications, donor and volunteer databases, online systems, special events, marketing efforts, and general office functions. This position also provides accounting support, including data entry and cash handling. This is a team-oriented role in a collaborative environment, requiring strong communication skills, adaptability, and a shared commitment to Stewards’ mission and values. Reports To: Administrative Director or Executive Director Works Closely With: Programs Director, Executive Assistant Key Responsibilities Database Management (CRM – Customer Relationship Management) ● Maintain accurate and up-to-date donor and volunteer data in the CRM system ● Generate reports, mailing labels, and mail merges ● Prepare thank-you letters and process donations and deposits Accounting Support ● Make bank deposits at the local bank ● Assist Retail Coordinator with online orders as directed ● Enter data into QuickBooks and Square Online Systems ● Monitor and assist customers with the online reservation and event registration system ● Manage and track online payments ● Communicate with customers via email, phone, and other platforms Special Events & Fundraising ● Collaborate with staff on event planning, including permits, logistics, scheduling, and ticket sales ● Assist with online fundraising auctions and donor engagement activities ● Coordinate auction donation pick-up, tracking, and data entry ● Help host community education programs and events Program Support ● Prepare training materials, set up rooms, and organize supplies ● Assist with training sessions, make follow-up calls, and respond to participant inquiries ● Support docent training sessions and continuing education programs General Office Support ● Manage phones, emails, filing systems, and office organization ● Welcome and assist volunteers and visitors ● Maintain office cleanliness, order supplies, and handle bulk mailings ● Perform other duties as assigned Qualifications ● Prior nonprofit and prior administrative experience strongly preferred ● Proficiency in MS Office, Google Workspace, social media, and website updates; knowledge of QuickBooks and Square preferred ● Skills in Adobe Creative Suite (InDesign, Photoshop, Illustrator) a plus ● Strong organizational skills and attention to detail ● Reliable, with excellent interpersonal and communication skills ● Bilingual Spanish preferred ● Experience with database/CRM systems ● Ability to work collaboratively in a small, high-output team environment ● Ability to lift up to 50 lbs and hike on uneven terrain ● Valid driver’s license, insurance, and a clean driving record required Compensation & Benefits ● $22–$25/hour DOE ● Employee PTO (holidays, vacation and personal time), 403(b) retirement plan, and medical stipend ● Equal opportunity, at-will employer FOR MORE INFO VISIT: https://stewardscr.org/staff-jobs/
