Job Title: Apartment Site Manager Company: Circum Pacific Properties, LLC Location: Portland Oregon Job Type: .75 FTE, Salaried, Exempt Company Overview: Circum Pacific Properties, LLC is an attentive property management company specializing in vintage residential apartment buildings in vibrant areas of Portland, Oregon. Job Summary/Objective: We are seeking a dedicated, friendly, and detail-oriented Apartment Site Manager to manage a portfolio of 6 properties, totaling 122 units. These vintage properties are all within 1.5 miles of one another in the NW Alphabet District. Responsibilities include: marketing, leasing, cleaning, scheduling and overseeing vendors, coordinating maintenance, preparing/posting notices, attending staff meetings, and attending ongoing training opportunities. The ideal candidate should enjoy working with a diverse population, have good computer skills, a reliable vehicle, and the ability to manage their own schedule efficiently. Strong organizational and communication skills are essential, along with the ability to handle multiple tasks efficiently. The successful candidate will be able to work independently and as part of a team, and must be self-motivated and proactive. Training and office equipment will be provided. Prior property management experience is not required but is preferred. Must live within 20 miles of 97210. Responsibilities included, but are not limited to: Resident Relations and Retention: Must learn and follow Oregon Landlord Tenant Law and uphold Fair Housing regulations. Serve as the primary point of contact for residents, addressing their inquiries, concerns, and requests in a timely and professional manner. Maintain positive relationships with residents, fostering a sense of community and ensuring their satisfaction to promote resident retention. Lease Administration: Lead the leasing process, including conducting property tours, and processing lease agreements. Coordinate move-ins and move-outs, ensuring the smooth transition of residents and the proper documentation of the process. Monitor online rent collection and enforce lease terms and policies. Property Maintenance: Conduct regular inspections of the property, tidy common areas as needed, identify maintenance needs, and ensure adherence to quality standards. Coordinate and schedule routine maintenance and repairs with the maintenance team, including coordinating with vendors and contractors as needed. Process maintenance requests from residents promptly and ensure timely resolution. Administrative Tasks: Maintain accurate records and documentation related to residents, maintenance activities, and other property-related matters. Answer incoming calls and texts, respond to emails, and manage correspondence. Prepare and distribute notices, announcements, and other communications to residents as needed. Requirements: High school diploma or equivalent (some college coursework preferred). Must have working knowledge of general office computer programs; we utilize G-Suite (Google Drive documents and spreadsheets). Also, must have an aptitude for learning property management software; we utilize AppFolio and TenantTech. Previous experience in property management or a related field can be beneficial, but an eagerness to learn the industry, integrity, and excellent work ethic is imperative. Strong organizational and multitasking skills, with attention to detail. Excellent communication and customer service abilities. Ability to work independently and as part of a team. Must be self motivated. Strong problem-solving skills and ability to handle resident concerns effectively. Valid driver's license and reliable transportation. Availability for on-call and PTO coverage of team members may be needed. Costa Brown Architecture, a small, design-oriented San Francisco architectural firm, is looking for a full-time Accounting/Administrative Assistant and Building Management Assistant with a positive attitude and strong communication skills.
