Accounts Receivable Specialist – Construction, Design, and Architecture [Billing Administration] Location: Chicago, IL Employment Type: Full-time in Office [must be in Chicago, IL] Salary Range: Competitive, based on experience Are you an organized and proactive financial professional with a knack for managing receivables in the construction, design, and architecture industry? We are looking for an Accounts Receivable Specialist to join our dedicated team. Your proficiency in QuickBooks and Microsoft Business Central, Microsoft Office & Bookkeeping will be essential in ensuring the accuracy of billing and timely collection of payments from clients. Key Responsibilities: Generate and distribute accurate client invoices based on project milestones and contracts. Monitor and reconcile accounts receivable to ensure timely collection of outstanding balances. Apply payments to appropriate accounts and track payment discrepancies for resolution. Work closely with project managers, designers and clients to address additional versions billable outside of flat rate fees. Maintain updated records of accounts receivable activity in QuickBooks and Microsoft Business Central. Prepare and analyze aging reports to identify overdue accounts and follow up on payment statuses. Support month-end and year-end processes, including reconciliations and reporting. Qualifications: Experience: Minimum of 5 years in accounts receivable, preferably in the construction, design, or architecture industry. Technical Skills: Proficient in QuickBooks and Microsoft Business Central. Familiarity with Excel and other reporting tools is a plus. Education: Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred. Industry Knowledge: Understanding of construction contracts, progress billing, and lien waivers. Soft Skills: Strong attention to detail, excellent communication and problem-solving skills, and ability to manage multiple priorities effectively.
