Description

As the International Logistics & Sales Coordinator for Eden Botanicals and parent company, Biolandes, you will be responsible for managing global purchase orders and maintaining customer records, in addition to coordinating international shipments through import documentation, monitoring shipments, communicating with freight forwarders and customs agents, and ensuring compliance with international trade regulations. This hybrid role requires attention to detail, strong organizational skills, and ability to work in multitasking, fast-paced, and cross-functional environment. CUSTOMS SUPPORT Biolandes: FedEx imports into the US, CA and MX • Track all shipments. • Create shipping labels and Commercial Invoices, as needed. • Handle exports sent from US to CA through Biolandes team. • Submit Customs documentation requests; send Census Warning confirmations to FedEx Logistics; confirm end use and manufacturing information. • Complete and submit TSCA requests; complete and submit signed authorization from customer. • Update customer on clearance status; confirm delivery. • Assist Eden Botanicals receiving department when shipping Biolandes orders from the US location. Eden Botanicals: customs clearance issues • Work with Customs Broker to clear and expedite shipments. • Submit Customs documentation requests. • Track and follow up on shipments held in Customs to ensure smooth delivery to client. SALES SUPPORT Biolandes: • Create customer accounts, and update as needed in Sales Force. • Craft POs; confirm receipt of PO; send copy of PO to Sales Admin and Account Manager. • Prepare sample order confirmations and pre-shipment sample for strategic clients based on their specific requirements. • Update Biolandes Account Manager spreadsheets. • Manage client complaints to resolve issues; maintain positive client relationships. Eden Botanicals: • Create customer accounts, and update as needed, in Magento; prioritize wholesale inquiries. • Create sample orders for Eden Botanicals clients. Cross organizational: • Arrange Biolandes POs with the Eden Botanicals shipping/receiving team. • Gather regulatory documentation for sales and shipping staff; send to client as needed. • Update strategic account database/follow up sheets for Eden Botanicals products. ACCOUNTING SUPPORT Biolandes: Accounts receivable • Payment request for past due invoices; notify Biolandes Accounting of payment remittance; guide customers through payment instructions. Eden Botanicals: PayPal/credit card disputes. • Contact customer to inquire reason for dispute and carrier for proof of delivery; monitor credits and debits and respond as needed; update Eden Botanicals Accounting on progress.
