About the Role: We’re seeking an experienced, multi-faceted legal assistant/paralegal to work with attorneys across practice areas. The position will encompass the following: • Assist attorneys with business formations, contract drafting, and regulatory compliance. • Coordinate meetings, draft correspondence, and manage deadlines. • Maintain and manage corporate records, business licenses and entity filings. • Prepare, review and organize legal documents, including agreements and corporate filings, pleadings, contracts, police reports, and other various discovery materials. • Provide trial and hearing support • Finalize and forward written communications. • Prepare and e-file documents with Oregon courts. • Respond to general client inquiries, which may be billable or non-billable, and meet client requests and expectations in a timely and consistent manner (e.g., document revisions, scanning records to PDF, applying naming conventions to file, photocopying, etc.) • Assist with new business intake process (submitting conflict checks, scheduling appointments, drafting file opening requests, drafting engagement letters) • Maintaining an organized system for physical files including intake, retention, retrieval, and transfer of records • Preparing and submitting expense reimbursement reports • Submitting vendor invoices for payment • Assisting other Legal Assistants with overflow work What We’re Looking For: • Two or more years of experience as a legal assistant/paralegal. • Excellent organizational and communication skills, sound judgment and decision-making abilities, attention to detail, effective prioritization and ability to meet deadlines. • Understanding of business contracts and corporate filings. • Understanding of court procedures, case management and e-filing. • Proficiency in Microsoft Office and Adobe, with the ability to create and edit charts and spreadsheets containing basic formulas. • Ability to work independently and collaboratively with minimal supervision. • A commitment to delivering exceptional client service • Commitment to maintaining confidentiality when performing complex legal administrative tasks that may be highly sensitive and require diplomacy and discretion • An ability to foster positive relationships with clients and colleagues • The salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors. Our client, a global law firm is looking for a temporary (4 months) remote Legal Recruiting Assistant starting December 1st. We are a local staffing service assisting our client with this temp need. While this is a remote need candidates should live in the SF Bay Area in the rare event that there is a need to be in office. Duties & Responsibilities o The Legal Recruiting Assistant provides administrative support to the Legal Recruiting department. o Assists with the organization and implementation of the Summer Associate Program, including but not limited to, tracking pre-arrival information, drafting arrival notices, scheduling orientation sessions and exit interviews, creating nametags, and assisting in the planning of social events and training programs. o Assists with all aspects of the on-campus interview process, including, but not limited to, registering for on-campus interview programs, resume collect programs and job fairs, maintaining on-campus interview and candidate files, and scheduling candidates for interviews. o Responsible for answering the Recruiting Department main phone line and directing calls as appropriate. o Responsible for monitoring the general Legal Recruiting Outlook email account on a daily basis and fielding emails as appropriate. o Assists the Legal Recruitment Manager with organization of lateral associate and judicial clerk candidate applications, including but not limited to, preparing summaries of candidates for hiring partner review and corresponding with select search firms. o Maintains legal recruiting database, viRecruit, and all candidate files. o Prepares all department correspondence to potential candidates and incoming legal personnel. o Coordinates payments for incoming and lateral associate hires (bar, clerkship, moving/travel expenses), as well as travel expenses for associate and summer associate candidates. o Performs other duties as assigned. o Uphold high standards of confidentiality, discretion, and integrity, particularly with respect to all sensitive and/or confidential firm and client information to which this position will have access. Requirements o Excellent organizational skills and attention to detail; proofreads accurately, efficiently and dependably. o Must be available to work additional hours. o Exercises confidentiality and discretion. o Demonstrates use of good judgment and good interpersonal communication skills. o Balances competing priorities and works efficiently under the pressure of meeting multiple deadlines with frequent interruptions. o Works harmoniously and effectively with others as part of a team. o A self-starter who desires to show ownership and commitment to the job; accepts responsibility and takes initiative. o A college degree is strongly preferred.
