Details: Job Title - Deal and Fund Support Specialist Location - Remote, but candidates should be based in either CA, WA, OR, AZ, NV, NM, UT, HI. Candidates must be able to provide support between 8 am and 5 pm PACIFIC TIME. Hours: 40 hours per week (8:00 AM and 5:00 PM Pacific Time) Start Date - ideally August 4th Duration - Likely long-term, potential minimum of 1 year Pay Rate - $25-30/hour, depending on experience Key Qualifications: Bachelor's degree and/or paralegal certification strongly preferred Prior experience as a paralegal or in an administrative role within a law firm, financial institution, or banking environment Proficiency with GEMS, Box, Adobe Pro, Appian, Smartsheet, and Microsoft Office Suite (Outlook, Teams, etc.) Availability to work between 8:00 AM and 5:00 PM Pacific Time Willingness to work overtime as needed to meet client demands Excellent organizational and communication skills Proven ability to manage multiple priorities and work independently Comfortable working remotely and collaborating across time zones Reliable access to secured home internet Strong team collaboration and interpersonal skills Key Responsibilities: This role will support a deal and fund support team with a range of document execution tasks, where attention to detail, process ownership, and cross-functional coordination are essential to ensure the timely and compliant execution of legal documentation. Responsibilities include: Monitoring the DFS inbox and routing requests to ensure timely processing Managing document intake and organization from internal teams and outside counsel Responding to document requests from internal teams and outside counsel Coordinating and managing document signature workflows Distributing completed documents to relevant stakeholders Requesting fully executed documents and closing binders from outside counsel, deal attorneys, and project managers (PMs) Maintaining accurate records in designated repositories Coordinating document disposal requests Providing GEMS approvals on entity-related information before publication to the broader GEMS user base Ensuring regulatory compliance through the execution of KYC documents, completion of KYC requests, and management of personal information disclosures when required Managing Authorized Signature Lists, Certificates of Secretary, and Certificates of Incumbency Handling Intermediary Agreements Maintaining electronic signatures and approver electronic stamps Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.
