Job Type: Patient Care Coordinator (PT Billing & Front Desk) – Part-Time with Remote Flex (Weds, Fri + PRN) Work Location: In person Wednesdays and Fridays, with remote hours available Momenta Physical Therapy (Momenta PT) offers personalized physical therapy and wellness services to help individuals recover from injuries, surgery, nagging aches and pains, and chronic conditions in Bellingham, WA. We focus on providing up-to-date, research-driven, and evidence-based treatments while creating a calm, supportive, and positive experience for both patients and staff. We have a friendly and welcoming atmosphere, and as a Patient Care Coordinator (PCC), you’ll be the first and last person our clients see and talk to. This role is vital to keeping patient care smooth, organized, and stress-free. Role Summary: This part-time position is primarily for Wednesdays and Fridays, with some flexibility for additional PRN coverage. Remote work is available for insurance benefit verification, authorization management, PT billing support, and assisting with phone or patient inquiries. We’re seeking someone who brings kindness, confidence, and excellent customer service skills, along with strong attention to detail and the ability to multitask with a smile. A key part of this role is guiding patients who may feel frustrated or confused about insurance, billing, or their financial responsibility— providing clear, compassionate explanations to ensure a positive experience. Key Responsibilities Front Desk & Reception: Greet patients warmly and manage check-in/check-out. Answer phones and emails regarding scheduling, availability, billing, and general questions. Schedule, reschedule, and manage waitlists (with remote support for admin and billing tasks when not at the front desk). Process payments for copays, coinsurance, deductibles, and purchases, while addressing patient questions about appointments, payments, and invoices. Communicate clearly and compassionately with patients, providers, and insurers. Insurance & Care Coordination Assistance: Verify patient insurance eligibility, coverage, and benefits through online portals and calls. Obtain and track pre-authorizations for treatments and procedures. Add and manage referral and authorization information in EMR. Communicate insurance details to patients and therapists. Collaborate with therapists, billing, and admin staff to ensure seamless patient care. Assist with PT clinic billing. Clinic Support: Manage inbound and outbound faxes, route documents into the EMR, and complete provider follow-up tasks. Perform light clinic cleaning and restocking (vacuuming, bathroom checks/stocking, trash, towels, lotions, dusting, disinfecting, etc.). Set up and assist patients with recovery tools (Normatec, Gameready) as needed. Support overall clinic organization to keep operations running smoothly. Qualifications: Experience in healthcare reception, patient care coordination, and billing preferred (PT clinic experience a plus). Strong organizational skills with excellent attention to detail and follow-through. Tech-savvy; comfortable using EMRs, online insurance portals, and multitasking across platforms. Excellent phone etiquette and interpersonal communication skills. Ability to stay calm, professional, and helpful in a fast-paced environment. High school diploma required; college degree or additional healthcare education a plus.
