About the Role The Patient Services Representative (PSR) is the heart of our clinics - often the very first smile a patient sees and the person who sets the tone for their entire visit. What You’ll Do (Job Duties & Responsibilities) Support a Smooth, Patient-Centered Clinic Experience Create a welcoming environment: greet every patient warmly and make a positive first impression Patient check-in & check-out: manage intake and departure, including paperwork, payments, and follow-up scheduling Appointment management: schedule, reschedule, and confirm appointments; coordinate transportation when needed Clinic flow support: triage patient needs on-site (e.g., late arrivals, questions), and escalate when appropriate Attendance tracking: monitor and track late arrivals and no-shows Administrative & Billing Support Collect co-pays, required paperwork, and patient payments Verify insurance eligibility and secure authorizations as needed Perform billing, coding, and authorization checks; flag discrepancies for resolution Complete tasks such as scanning, faxing, and data entry Records Management Ensure consent forms, ID, and insurance cards are collected, scanned, and properly saved to charts Fax office notes to referring PCPs Enter outbound referrals and submit faxed authorization and referral requests to PCPs as needed. Enter scheduling and phone/non-visit documentation as appropriate Clinic Operations & Facilities Keep exam rooms and common areas clean, stocked, and ready for use Conduct regular inventory checks and escalate any facilities or supply issues Prepare and turnover exam rooms between patients as needed Provide call support (both incoming and outgoing) Partner with internal team members and clients Flex priorities and adapt to changing responsibilities that emerge in a fast-growing, evolving company Requirements What You Bring to the Table (Position Requirements): Patient-first mindset - you are compassionate, empathetic, and invested in creating an elite patient experience Experience in a medical office or similar patient facing role Proactive and self-motivated, with a strong sense of ownership and the ability to anticipate needs Highly detail-oriented, ensuring accuracy and consistency in a fast-paced environment Collaborative spirit and a team player who thrives working across roles and departments in a fast growing company High school diploma or equivalent The Nice-to-Haves (Preferred Qualifications): Bilingual, Spanish speakers strongly encouraged to apply Experience in a an orthopedics, physical therapy, or musculoskeletal care practice Tech-savvy - experience with EMR systems and remote tools Familiarity with basic medical terminology Schedule & Location: The schedule is Monday-Friday 8am-5pm ET, with a 1 hour meal period This position is fully in-person supporting multiple clinics in Manatee County. Pay: Pay starts at a minimum of $16.83 and up to $21.63 per hour, with higher rates based on experience and background. The Panel Specialist, Medical Assistant plays a vital role in managing patient care and supporting efficient clinic operations.
