We are a small, well-established CPA firm seeking a dependable and detail-oriented office administrator to help keep our office running smoothly. We are looking to hire by the end of October. This is an excellent opportunity for someone who is highly organized, enjoys working in a professional environment, and can manage multiple responsibilities with accuracy and efficiency. Responsibilities include but not limited to: - Oversee and coordinate daily office operations. - Answer and direct phone calls with professionalism. - Manage and order office supplies to ensure smooth workflow. - Coordinate and assist with time and billing functions. - Provide general administrative support to partners and staff. - Enter client tax return data accurately into firm software. Requirements: - Prior office administration or bookkeeping experience preferred. - Strong organizational and multitasking skills. - Proficiency with Microsoft Office and data entry systems. - Professional communication and interpersonal skills. - Ability to maintain confidentiality and handle sensitive information. Schedule & Hours: - Full-time availability with flexible scheduling. - January through April (tax season): Hours will increase to support the firm’s busy season. Our client, an investment arm of a university is seeking a Temporary Executive Assistant to provide administrative and executive support for investment staff. This 6-8 month role is maternity coverage, based on site in Cambridge, MA. Standard hours are 8:30 AM - 5:00 PM, pay is low to mid $40s/hr, and candidates must be available to work at least four days per week in the office. Candidate Qualifications 3+ years of administrative experience; prior C-suite or investment environment experience preferred. High school diploma or equivalent required; Bachelor's degree preferred. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Strong organizational, problem-solving, and multitasking skills. Demonstrated professionalism, discretion, and ability to handle confidential information. Excellent written and verbal communication skills. Ability to prioritize competing demands, adapt to shifting priorities, and work under tight deadlines.
