The Law Offices of Samer Habbas & Associates, PC is seeking a Human Resources Generalist to join the growing Human Resources team. As a Human Resources Generalist, you will play a vital role in supporting day-to-day HR functions, with a strong emphasis in HR compliance and employee relations. The ideal candidate for the HR Generalist role possesses strong experience in employee coaching, demonstrates the ability to work independently with minimal supervision on HR initiatives and projects, and embraces a growth mindset with a proactive approach to enhancing our workplace. Employee Relations and Performance Management ● Act as a first point of contact for employee relations issues; investigate and help resolve concerns in a fair, timely, and consistent manner. ● Ensure all documentation for HR investigations are documented thoroughly, in compliance with state and local laws ● Assist in the administration of performance review cycles ● Help develop and maintain internal training and development programs ● Coach managers on best performance management practices in accordance with employee handbook and policies ● Ensure accurate recordkeeping of all performance improvement plans, termination requests, and performance evaluations for promotions or merit increases ● Collaborate with Director of HR to ensure managers are prepared for conflict resolution discussions, termination calls, or performance management discussions Leave Management ● Administer and track leaves of absence (FMLA, CFRA, PDL, etc.) ● Coordinate benefit continuation during leaves ● Ensure timely and accurate documentation of all leave cases ● Act as point of contact for employees on leave HR Operations & Compliance ● Maintain and manage employee records and HRIS systems (Paylocity) ● Ensure compliance with state and federal labor laws, including CA-specific regulations ● Collaborate with HR Coordinator to onboard employees, including preparation of new hire packets and New Hire Orientation ● Handle offboarding, including preparation of separation documents and Unemployment claims ● Administer and track mandatory compliance training (e.g., workplace safety, harassment prevention) ● Assist in developing, updating, and communicating HR policies and employee handbook ● Respond to employee verification requests and ensure proper documentation and recordkeeping ● Assist HR Coordinator with recruitment tasks (e.g. phone screens, background checks, drafting offer letters) Benefits Administration ● Oversee new hire benefits enrollment, open enrollment periods, and COBRA communications ● Act as a liaison between employees and benefits providers ● Administer retirement plan enrollments and provide ongoing employee education ● Maintain benefit systems and data (e.g., Ease and Vanguard through Paylocity) Workers’ Compensation ● Serve as point of contact for workplace injuries ● File workers’ compensation claims and work with carrier and injured employees ● Develop return-to-work plans with leadership if applicable Requirements Required Qualifications and Skills ● Bachelor’s degree and 2-4 years of HR Generalist or equivalent experience; OR HR Certificate/education and 3-5 years of HR Generalist or equivalent experience ● Experience with handling confidential HR and personnel matters ● Knowledge of leave of absence administration, including knowledge of FMLA, PDL, CFRA, FLSA and California state leave benefits ● Exceptional interpersonal, written, and verbal communication skills, with the ability to build trust and promote collaboration across all levels of the organization ● Experience working with HRIS systems and employee data entry/recordkeeping ● Strong organizational skills and attention to detail ● Growth-oriented mindset with a desire to improve current processes ● Knowledge of Microsoft Office products (Word, Excel, Powerpoint) ● Solid knowledge of California HR labor law, HR compliance and best practices ● Ability to learn and comprehend new computer systems as needed (e.g. new HRIS system) ● Self-starter with the ability to work independently in one of our Irvine, CA office Preferred Qualifications ● SHRM or PHR certification ● Experience with Paylocity ● Experience supporting open enrollment and benefits education If you’re the ideal candidate, we would like the opportunity to invite you to the office to discuss joining our team of talent. POSITION TITLE: Human Resources Coordinator PAY RANGE: $27.00-$34.09 Per Hour REPORTS TO: Director of Human Resources DESCRIPTION OF POSITION: The Human Resources Coordinator provides day-to-day administrative support for the Human Resources Department. Primary duties include employee management, including onboarding, training, compliance, and recruiting. The HR Coordinator also serves as the key contact for employee questions, comments, concerns, complaints and suggestions. While the HR Coordinator may not serve as the direct administrator for benefits, savings, and retirement plans, they act as a liaison to direct employee concerns appropriately to either our external partners or the HR Director.
