Job Description – Administrative Assistant
Reports To: President / CEO / Executive Management

Position Overview
We are seeking a highly organized and proactive Administrative Assistant with experience
to provide executive-level administrative and financial support to senior management. The ideal candidate will
have a strong background in construction project coordination, office management, and basic accounting
functions, with the ability to anticipate needs, handle sensitive information, and manage multiple priorities in a
fast-paced environment.
Key Responsibilities
Executive Support
- Provide high-level administrative support to the CEO and executive team.
- Manage executive calendars, schedule meetings.
- Assist with project documentation, submittals, RFIs, change orders, and contracts.
- Track deadlines for bids, proposals, permits, and compliance reports.
- Maintain records of subcontractor agreements, insurance certificates, and lien releases.
- Coordinate with project managers, superintendents, and field staff to support smooth project execution.
- Support compliance with safety regulations, prevailing wage requirements, and company policies.
Accounting & Finance Support
- Process accounts payable (A/P), including vendor invoices, subcontractor payments, and expense
reimbursements.
- Manage accounts receivable (A/R) by preparing client invoices and tracking payments.
- Pay company bills and ensure all payments are processed on time.
- Assist with project cost tracking and provide financial reports to management.
- Collaborate with the accounting team or external CPA as needed.
Office & Administrative Management
- Maintain electronic and hard copy filing systems for project, financial, and company records.
- Handle confidential information with discretion.
- Liaise with vendors, subcontractors, and clients on behalf of executives.
Qualifications
• 3–5 years as an Administrative Assistant, preferably in a construction or related industry.
• Associate’s or Bachelor’s degree preferred; equivalent work experience accepted.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); QuickBooks or similar accounting
software experience is a plus.
• Familiarity with construction management software (Procore, Bluebeam, Viewpoint, or similar) is highly
desirable.
• Familiarity with construction terminology, contracts, permits, compliance documents, and project workflows.
• Strong organizational skills, attention to detail, excellent written/verbal communication, and the ability to
multitask under deadlines.
