About the Role We’re looking for a part-time Operations Manager to keep the trains running and help us build a strong operational foundation as we continue to grow. This role will be responsible for painter onboarding, internal systems and processes, payroll, basic financial support, and executive support to our co-founders. You’ll also have the chance to contribute to marketing and communications, including organizing webinars and helping maintain our social media presence. You might be a great fit if you: Have experience in operations, administration, or project support in a construction, painting, or contracting environment Understand the workflow of commercial or residential painting projects, subcontractor management, and client relations Love keeping things organized and humming (your spreadsheets have spreadsheets) Are highly self-directed and proactive – able to work independently but know when to ask for support Have a healthy respect for strong systems and a knack for finding clarity in chaos Can manage up effectively, keeping leadership organized and on track Aren’t afraid to ask questions and propose new ways of doing things Enjoy a wide variety of tasks and find satisfaction in making others’ work lives easier Are curious, tech-savvy, and comfortable learning new systems and tools Are excited about the opportunity to help shape the internal culture and infrastructure of a growing company Ideal Qualities for Payroll Responsibilities Highly Detail-Oriented: Ensures accurate payroll processing and data entry Reliable and Responsible: Meets deadlines consistently to ensure timely employee pay Confidential and Trustworthy: Handles sensitive employee information with discretion Organized: Manages multiple tasks and records efficiently Analytical: Identifies and resolves payroll discrepancies quickly Tech-Savvy: Comfortable using payroll software, spreadsheets, and other digital tools Communicative: Able to explain payroll questions to employees clearly and professionally Integrity-Driven: Maintains ethical standards in handling all payroll and financial information What You Will Do Employee & Subcontractor Operations Support onboarding and setup for new painters and subcontractors (certifications, compliance forms, contracts) Maintain key internal employee and subcontractor records Finance & Payroll Manage payroll, including certified payroll for prevailing wage projects, using Patriot Payroll Process accounts payable and ensure bills are paid accurately and on time Track job costs, labor, and materials Collaborate with the accounting team to prepare for tax season and maintain accurate financial records Operations & Process Improvement Maintain organized digital files and company records Provide administrative support to leadership, including scheduling, meeting prep, and logistics Help develop and improve internal processes and systems Contribute ideas to streamline workflows and enhance efficiency Marketing & Communications Support social media posting and basic marketing initiatives Assist with small marketing campaigns and company communications Minimum Qualifications 3+ years in an operations, administrative, or office management role, ideally in construction, painting, or contracting Proficiency with Patriot Payroll, Excel, and digital tools (Google Workspace, QuickBooks, etc.) Strong organizational and communication skills Ability to manage multiple priorities and deadlines in a fast-paced environment Self-starter mentality with comfort working independently Bonus Points: Familiarity with certified payroll and government contract requirements Spanish language skills Social media or marketing experience Based in the Denver metro area DaVinci Coatings, LLC is an equal opportunity employer and strongly encourages applications from candidates of all backgrounds.
