Job Title: Health & Safety Administrator Job Location: Nationwide/Virtual (Florida preferred – Orlando, Pensacola, or Jacksonville) Job Code: 2025-HSA Position Information SEARCH has an immediate opening for a qualified Health and Safety (HS) Administrator to join our team and assist with company-wide safety, environment, and loss prevention programs; assure a safe and healthy working environment for all team members; and ensure compliance with all federal, state, local, and client regulatory requirements. This position works closely with the Principals, HS Professionals, Sector Leaders, and Human Resources. Pay is commensurate with education and experience. Key Responsibilities Collect, compile and enter HS data into existing systems. Receive and process email submittals, verbal reports, and completed forms. Enter data into Excel spreadsheets and other electronic databases, including the SEARCH U Learning Management System, Embark (driver monitoring), SiteDocs, and third party vendor qualification systems, (ex. ISNetWorld, Avetta, Veriforce/PEC, et al.). Create PDF records and carefully file detailed records in the HS Management System, using the existing processes and file naming conventions, within SharePoint. Assist with maintaining the HS Management System Document Register by tracking version history and updates of key documents. Log changes in the Register and publish updated public-facing files when changes are made, including within the SharePoint environment. Assist with proof-reading, editing and publishing of HS documents. Assist with onboarding and offboarding personnel within the HS environment. Add/remove users from SiteDocs and Embark. Assign training courses to new hires in SEARCH U. Assist with injury incident reporting and tracking. Participate in incident investigations, Root Cause Analysis, witness interviews, and other incident-related work. Take notes and file detailed records carefully in the HS Management System. Maintain confidentiality of personal and incident-related information, as required by law and in accordance with professional standards. Run periodic reports on driver safety performance within the Geotab website. Compile detailed, accurate reports and submit to HS Manager. Assist in maintaining SEARCH U by learning key features of the program, including course assignment, due dates, and delinquency notices. Help to set up new courses in the system. Track training progress for all staff and periodically run detailed reports. Submit completed reports to the HS Manager. Travel to job sites 50% of the time and offices throughout the US to perform basic safety inspections and to provide hands-on solutions in the field to day-to-day health and safety needs. Document field activities with written records, photographs, and summary reports. Procure HS supplies and materials; arrange for shipping and payment; keep detailed records and receipts and assist HS Manager with expense reporting for purchases. Daily advanced use of software, including: Microsoft SharePoint, Teams, Outlook, Excel and Word; Adobe Acrobat. Other duties as assigned. Requirements Qualifications Required: At least two (2) years of progressive experience in HS, or substitute an educational degree or certification in a HS-related field. Knowledge of applicable Occupational Safety and Health Administration (OSHA) and United States government regulations. Exceptional organization skills and attention to detail. Exceptional Computer skills: Adobe Acrobat, SharePoint, Microsoft Office Suite (esp. Word, Outlook and Teams) Strong communication and interpersonal skills. Ability to maintain confidentiality of key HS-related information. Qualifications Preferred: Degree or certification in a HS-related field Previous experience in Department of Transportation, Pipelines, Renewables, Transmission, or Energy-related industry. Understanding of the cultural resource management (CRM) industry (firms, clients, contracts, new research, and projects). Our hire will be one of two who administer community development grants for County of Blair within the Social Services Office. Incumbent will provide a variety of support services through work with community corporations, private non-profit organizations, local/state/federal agencies to develop and maintain community development programs and projects to assure compliance with governmental requirements.
