JOB SUMMARY Coordinates and schedules residents’ off-site appointments. Also coordinates all driver pickups and drop offs. Assists in transporting residents to prescribed destinations and provides the Health Service department with clerical support. The RCFE Health Services Assistant assists the RCFE Health Service Manager in providing and maintaining functions vital to the daily living of adult residents, as well as the operation of Health Services in meeting the residents’ daily living requirements. ESSENTIAL FUNCTIONS Coordinates resident schedules for medical appointments off site. Arranges and assists residents with all other transportation (Uber, Access, etc.) as needed. Receive and follow schedules and instructions for the RCFE Health Service Manager. Provide basis clerical duties, i.e., letters, memos, reports, etc. Follow up on billing. Maintain accurate receipts and invoices. Reconcile monthly credit card, complete coding, and submit for approval and payment. Follow-up on unpaid medical and pharmaceutical invoices. Handle petti-cash as needed. Assist with orders supplies, i.e., ostomy supplies, oxygen supplies, medication, etc. Maintain Notary License and provide notary services to residents in accordance with professional standards. Assist residents with scheduling medical appointments. Assist with obtaining authorization when and follow up as needed. Coordinate with driver to arrange transportation. Communicate schedules to nursing staff and other departments as needed. Assist and participate in tele-visits or phone appointments with residents as needed. Arrange and maintain an organized appointment system for easy delegation if needed. Assist in transportation of residents to medical appointments and accompany residents as needed. Retrieves charts either electronically (Matrix) or on physical chart and gathers necessary medical information for off-site appointments. Documents occurrences or needed information in resident’s electronic chart (Matrix) Prints and distributes medical reminder slips weekly, on Fridays in resident mailboxes, for the upcoming week. Reminder slips that are for AL, are given to the nursing team to ensure resident is ready. Confirms all appointments, pending lab work, procedures, or surgeries. Gives nursing team a copy of any pre-op instructions, whether IL or AL, to ensure instructions are completed. Facilitates intra-office documents and distributes to appropriate staff. Oversees driver’s daily schedule routine with RCFE Health Service Manager. Ensures driver reconciles monthly petti-cash, Kaiser pharmacy, CVS pharmacy, gas, etc. Prints/posts/emails weekly and or daily schedule of appointments. Meets performance expectations for volume, timeliness, and quality. Follows through on completion of assignments, overcoming obstacles and increasing efforts where necessary. Originates, develops, or implements new methods to accomplish objectives. Generates innovative ideas to enhance overall operations. Makes practical decisions and recommendations reflecting logical analysis of problems and/or issues. Conveys information in a concise, accurate and understandable manner. Displays attentiveness, tact, and diplomacy in responding to others. Adjusts to new and changing environments, priorities and/or ideas. Demonstrates flexibility and willingness to accept additional responsibilities. Attends department and/or campus in-services, meetings, and events regularly. Maintains a good working relationship with co-workers. Regular attendance. Ensure that all residents’ rights to fair and equitable treatment, self-determination, individuality, privacy, property, and civil rights including the right to wage a complaint, are well established, and maintained at all times.  Always preserve the dignity and self-respect of the residents. Perform other related functions as requested by the RCFE Health Service Manager. Requirements SKILLS, ABILITIES AND EXPERIENCE Computer and keyboard skills required. Effective oral and written communication skills required. Knowledge of Title 22, Division 6 & Division 12 desirable. EDUCATIONAL REQUIREMENTS/LICENSES/CERTIFICATES Any combination of education and experience that would provide the necessary knowledge and abilities listed, typically: Maintain a Notary License Maintain a current non-restricted California Driver's License. POSITION TITLE: Adjunctive Therapist (Certified Art Therapist) PAY RANGE: $44.00-$55.55 Per Hour REPORTS TO: Director of Clinical Services DESCRIPTION OF POSITION: The primary role of the Adjunctive Therapist is to plan and implement and facilitate therapeutic groups or activities for all adult and adolescent patients.
