





Our LA-based nonprofit organization is looking for a seasoned Executive Assistant to support the CEO and executive team. The position is full-time, mostly in-person at our office, with occasional work on nights and weekends for events. The candidate must have a reliable vehicle and the ability to perform errands, travel for business, and attend meetings with executives. POSITION SUMMARY We are seeking a highly organized and detail-oriented Executive Assistant to provide essential operational and communications support to our growing nonprofit team. The ideal candidate is a proactive problem-solver who thrives in a dynamic environment and can balance multiple priorities. Preference will be given to candidates with relevant non-profit and/or media-related experience. KEY RESPONSIBILITIES ● Manage the CEO's schedule and coordinate team Zoom meetings. ● Coordinate and schedule meetings with employers, partner organizations, and internal teams. ● Manage and maintain the Master Calendar for meetings, events, and key deadlines. ● Perform data entry and management across database platforms such as Airtable, Insightly, and Form Assembly, including trainee and mentor data and eligibility information for grant programs. ● Send engagement emails to candidates, apprentices, and participants, including distributing materials for various programs (Zoom links, syllabi, worksheets, and resources). ● Schedule and manage program interviews and guest speaker sessions, including sending thank-you notes and other professional communications. ● Post announcements and add trainees to the Slack channel upon program completion.' ● Schedule 1-on-1 review sessions and assessments. ● Assist with design projects in Canva or Powerpoint, including updating flyers and creating presentation decks. ● Handle mail packaging and delivery for organizational needs. ● Represent the organization at outreach, tabling, and community events, such as career fairs and conferences. ● Manage event logistics including ordering swag items, setting up QR codes and sign-up forms, and overseeing table setup and breakdown. ● Collect invoices and track payments ● Perform all other job related duties as assigned QUALIFICATIONS ● Strong organizational and time-management skills with attention to detail. ● Proficiency in Google Workspace, Slack, Zoom, Airtable, Powerpoint and Canva (experience with Insightly and Form Assembly a plus). ● Excellent written and verbal communication skills. ● Ability to multitask and manage priorities in a fast-paced environment. ● Friendly, flexible, professional demeanor with a passion for equity, inclusion, and community building.
